This is a great Training Opportunity! We are seeking a creative, energetic, self-starter to undertake a variety of HR administrative duties. You will facilitate daily HR functions like keeping track of employee's records and supporting the interview process. Your role involves performing tasks with a focus to grow our company’s talent pipeline and improve our sourcing tactics. The ideal candidate will have a broad knowledge of Human Resources as well as general administrative responsibilities. You will be able to work autonomously and efficiently to ensure the end-to-end running of HR projects and operations. The HR assistant duties involve a wide range of support activities inside our HR department, from coordinating meetings to maintaining our employee database to posting job ads.

This job will be performed at our main office, located in White River Junction, Vermont, 72 South Main Street.

Scope of Job: Assist HR in the whole recruitment lifecycle (e.g. onboarding new hires and candidate sourcing). Provide support to ARIS employees and agency contracts by delivering satisfactory HR services. Ensure our HR department is organized and operates smoothly to attract, hire and retain our employees.

Qualifications and Skills Level:

  • High School Diploma required. Associate degree in related field preferred.
  • Prior related office experience preferred (minimum of 2 years).
  • Proven experience as an assistant, or relevant human resources/administrative position.
  • Necessary computer skills for the position: Proficiency in Microsoft Office; including intermediate experience level Excel, Word and Outlook.
  • Fast computer typing skills (MS Office, in particular).
  • Hands-on experience with HR/Payroll software platform.
  • Familiarity with really, or similar ATS software and resume databases.
  • Basic knowledge of employment laws.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Excellent organizational skills and attention to detail.
  • Work autonomously and remain calm under pressure.

· Ability to work with people at all levels of the organization.

· Ability to prioritize and multi-task in a fast-paced work environment, while remaining highly organized and detail-oriented.

· Prolonged periods of sitting at a desk and working on a computer.

· Must be able to lift up to 15 pounds at times.

Duties and Essential Functions

  • Maintains accurate and up-to-date human resource files, records, and documentation.
  • Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
  • Assists in hiring processes, recruiting, prescreening, interviewing, hiring, reference, and background checks.
  • Maintains the integrity and confidentiality of human resource files and records.
  • Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
  • Provides clerical support, copying, scanning, and tagging to cloud storage for HR department.
  • May assist with payroll functions including processing, answering employee questions, fixing processing errors, and distributing checks.
  • Process documentation and prepare reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluations etc).
  • Acts as a liaison between the organization and external benefits providers and vendors, which may include health, disability, and retirement plan providers.
  • Conducts or assists with new hire orientation.
  • Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
  • Coordinate HR projects (meetings, training, surveys etc) and take minutes.
  • Deal with employee requests regarding human resources issues, rules, and regulations
  • Assist in payroll preparation by providing relevant data (absences, bonus, leaves, etc).
  • Communicate with public services when necessary.
  • Properly handle complaints and grievance procedures.

Job Type: Full-time

Pay: $18.50 - $20.00 per hour
