Summary of Function : The Department of Energy of Assessment Center GrantSpecialist oversees and directs the administrative support of the department,providing the second highest level of administrative and clerical support.
Typical Duties :
Serves students. Oversee the entire lifecycle of Department of Energy Industrial Assessment Center grants, from application to closeout.
Develop and maintain grant budgets, ensuring accurate allocation of funds and adherence to financial guidelines. Monitor grant progress and performance, identifying any deviations from established objectives and implementing corrective actions as needed.
Coordinate with relevant stakeholders to ensure compliance with grant requirements, including reporting deadlines, documentation, and regulatory standards.
Conduct regular evaluations of grant performance, analyzing data and metrics to assess impact, identify trends, and make recommendations for program improvements.
Ensure the integrity and quality of grant-related data by maintaining accurate records and documentation in accordance with organizational regulatory standards.
Collaborate with internal teams to gather necessary information and data to support grant documents, including project plans, budgets, and performance metrics.
Review reports to ensure alignment with grant priorities and objectives, making recommendations for enhancements as necessary.
Purchasing : Orders supplies for office and staff. Creates requisitions, and reviews invoices, P-cards, and / or Travel cardholders with monthly reconciliation duties.
Completes all aspects of travel for supervisor and department. Prepare comprehensive reports on budget, grant activities, expenditures, and outcomes for submission to funding agencies and program stakeholders.
Serve as the primary point of contact for grant-related inquiries from internal and external stakeholders, providing timely and accurate responses.
Foster positive relationships with funding agencies, industry partners, and other relevant organizations to support grant objectives and promote collaboration opportunities.
Represent the Department of Energy Industrial Assessment Center at meetings, conferences, and events to raise awareness of grant activities and achievements.
Support and participate in strategic planning initiatives and performs other duties as assigned.
Required Qualifications :
- Bachelor’s degree in a relevant field such as a business administration, public administration, environmental science, or engineering
- Minimum of 3 years of experience in grant management, preferably in the energy efficiency or environmental sector
Preferred :
- Master’s degree preferred
- Strong understanding of federal grant regulations, policies, and procedures, particularly those of the Department of Energy

Position Type & Work Schedule :
- Full-Time, 12 months
- Monday-Thursday; 7 : 00 AM 5 : 00 PM, 38 hours per week
- May include some Fridays, evenings, and weekends
Knowledge, Skills, and Abilities :
- Knowledge of and ability to follow college policies and procedures
- Knowledge of and skill with utilizing current technologies and word processing, database, presentation, and spreadsheet software, specifically, Microsoft Office Suite, Google, and Windows applications
- Demonstrated project management skills, with the ability to prioritize tasks, manage deadlines, and coordinate multiple projects simultaneously.
- Ability to complete all departmental and / or institutional mandatory training or development
- Ability to communicate effectively, verbally and in writing, and to relate to others in a professional, helpful manner
- Ability to work with industrial stakeholders, including manufacturers, utilities, and trade associations
- Ability to effectively interact and communicate with a diverse internal and external community
- Ability to maintain confidentiality of sensitive information
- Ability to exercise and demonstrate flexibility, tact, discretion, diplomacy, assertiveness, and strong customer service skills
- Demonstrated ability to work independently and collaboratively in a fast-paced, dynamic environment.
- Ability to maintain accurate office procedures and clerical procedures and systems such as record keeping and filing

Work Environment :
Indoor office, normal noise level, and good lighting.
Physical Demands :
- Sitting for prolonged periods of time, viewing a monitor
- May lift, carry, push, and / or pull light (at least 5 pounds) amounts of weight

Travel :
- May be required to travel to other locations using various modes of private, commercial, or fleet transportation, and as needed to support department and institutional needs
