The Position of Operations Associate is focused on providing service to the financial advisors, broker dealers, and registered investment advisors distributing the firm's products. The role will also be responsible for various technology related operations for the firm.
Answer inbound telephone inquiries from financial advisors and reporting to various client service-related topics, including account maintenance, balance information, registration inquiries and other basic service-related issues;
Discover client needs, provide accurate information to callers and escalate issues as appropriate;
Act as a service liaison for internal departments, custodians, clearing firms and our transfer agent;
Responsible for the management of the subscription review process to determine if they are “In Good Order” and eligible for proper admittance into the product offering(s);
Coordinate with the various third parties (escrow agent, transfer agent, clearing agent) and internal departments on the reconciliation process including but not limited to sales commissions, shareholders, redemptions, and outstanding shares and dollars;
Understand and balance concerns of advisors, the operational capabilities of the transfer agent and clearing firms, and fund policies and procedures in the issue resolution process; research and provide explanations on curing items and/or system issues and propose improvements and solutions to avoid new issues;
Answer inbound telephone and email inquiries from investors on various service service-related topics, including account maintenance, balance information, registration inquiries, online account access and other basic service-related issues
Responsible for third-party invoice related reconciliation across various operations and technology vendors;
Administer and manage technology related services relating to the various third-party vendors we may utilize for day to day operations across the firm.
Requirements:
Bachelor's degree preferred; major in business administration or finance
1 years Financial Services experience preferred
1 years client service/or operational experience required
Strong proficiency in Microsoft Office and Microsoft Excel
Experience with Salesforce preferred
Prior experience in an office environment preferred
Exceptional written, verbal and phone skills
Strong research, analytical and problem-solving skills
High standards for accuracy and quality
Strong organizational skills and the ability to manage multiple competing projects with finite resources
Ability to work cooperatively within a team structure and with other internal departments
Ability to synthesize and present complex information in a way that ensures understanding
Ability to operate comfortably and effectively in a fast-paced, highly matrixed environment
