ASM Global, the leader in privately managed public assembly facilities, has an immediate opening for a part-time Administrative Assistant at Century II Performing Arts and Convention Center. Summary: Assist various departments with clerical tasks. Provide clerical support and data entry to accounting, marketing, and sales departments. Data entry, filing, handling information requests, along with distributing correspondence. Essential Duties and Responsibilities: Answer telephones and direct caller to appropriate personnel. Transfer a caller to voice mail when necessary. Provide callers with information such as company address, directions to the facility, website, ParkMobile website, box office hours, event, and other related questions. Monitor Century II info mailbox. Answer emails, transfer to correct team member for follow up, etc. Proofread pages of the Century II website and work with the Marketing Manager to make corrections. Update the internal phone directory monthly. Update events on community calendars. Assist the Marketing Manager with the monthly newsletter. Responsible for Exhibitor Services by processing utility orders for exhibitors at events. Track orders, accept payment, provide receipts and communicate with the Event Manager, Electricians and Operations department during load in days. Will work event floor on load in days for larger events processing orders. Submit office supply orders for the facility and maintain applicable inventory of supplies in the Administrative Office supply room. Monthly reconciliation of office supply invoices to orders received. Record outgoing message on the phone system event line. Sort and distribute mail daily. Send out FedEx packages upon request. Track lost and found. Regular attendance is an essential job function. Position requires the ability to work at all ASM Global facilities in Wichita. Work independently and within a team on special nonrecurring and ongoing projects. Other data entry, clerical duties and assisting with special projects as assigned or requested. Education and/or Experience: High School diploma or G.E.D, some college, preferred. Six (6) months to one (1) year related experience and/or training; or equivalent combination of education and experience. Ability to communicate with integrity both internally with other employees and externally with guests and clients. Excellent oral, written and interpersonal skills. Proficient with Microsoft Office products including Outlook, Word, and Excel. Detail oriented. Strong organizational skills In-depth understanding of office management and daily operations. Ability to work unsupervised and to function both independently and as a team member. Computer Skills: To perform this job successfully, an individual should have knowledge of multiple line phone system, Microsoft office including Outlook, Word, and Excel. Physical Demands: Must be able to transfer calls quickly, dexterity. Must be able to adapt to frequently changing tasks, and type.
