Job Description
Summary
The Culinary Executive Assistant provides administrative office support to the Executive Chef and culinary department for The Little Nell Hotel.
Essential Job Functions
• Communicates often with Executive Chef, minimum 1 reoccurring touch base per week, ensuring any urgent requests or issues are brought to light immediately
• Review, code, organize invoices for approval and email to Accounts Payable
• Maintains Culinary Check Book, input invoices and compare to month end reports
• Organize and maintain all Culinary files, both computerized and hard copies
• Upload sales data, check dates and run reports
• Maintains current supplier list, menu items and inventory for placement in storage areas
• Update menu items seasonally
• Create new suppliers as needed
• Orders office supplies based on budget and special needs
• Manages mail for Executive Chef, including sorting daily email “in” box and “out” box, handling samples and returns, and all other mail related duties both virtual and hard copy
• Maintains office equipment, arranges service as needed
• Maintain personnel files for division managers, including payroll
• Monitor Kronos for missed punches, missed lunches, overtime, paid time off requests and email Executive Chef with action items
• Assist in sourcing products for division
• Assists Culinary Department with projects as requested
• Is familiar with and adheres to hotel policies and procedures
Qualifications
• High school diploma or equivalent
• College degree preferred
• Food and Beverage/Culinary operational experience preferred
• Strong typing skills, minimum 50 wpm
• Working knowledge of Microsoft Word and Excel
• Excellent phone skills
• Reads, writes and speaks English fluently
Additional Information
Supervision Given and Received
Given: This position has no supervisory responsibilities.
Received: Works under direct supervision of the Executive Chef. Tasks are assigned according to specific procedures, and work is checked frequently. Instruction, advice and assistance are readily available.
Work Environment and Physical Demands
• Ability to reach, crouch, kneel, stand, walk or be on your feet for extended periods of time
• Regularly work in wet, hot and humid conditions for extended periods of time and may be required to walk on slippery and uneven surfaces
• Must be able to frequently lift, push or pull up to 50 lbs. individually or with assistance Not required, but preferred to be able to occasionally lift, push or pull 25 lbs. individually or with assistance
