Associa seeking Administrative Assistant for a full-time position in our Community Association Services of Indiana (CASI) Branch location to primarily provide customer service to unit owners and Board members.This is a FT in-office position.
The ideal candidate must present professionally, work independently and with minimal supervision. Will maintain a positive business relationship with all owners, residents, board members, and coworkers.

Job description:
- Assisting walk in clients in lobby
- Handle all incoming mail and packages and distribute to the correct department.
- Document & handle client Returned Mail through mail process.
- Process all incoming invoices.
- Prepare notices, letters and correspondence for the community manager to review and sign.
- Prepare mailings including printing and applying mailing postage to notices, letters and correspondence.
- Respond to incoming phone calls, voice mail messages, and e-mails.
- Use company software to assign and follow up on task.
- Maintain various office files and provide general office filing support.
- Processes print jobs, scanning and faxing as needed.
- Other duties assigned.
- SLA’s for all job duties are DAILY or within 24 hours.
- Requires a high school diploma or GED; bachelor’s or associate degree preferred.
- 1 - 3 years of directly related clerical or administrative support experience required; HOA, property management or condominium management-related experience is a plus.
- Must have excellent customer service, computer and typing skills, along with proficient skills with Microsoft Office, Excel and the internet.
- Must be able to adapt to management software and computer programs being utilized by the company and self-teach through online learning and training guides.
- Knowledge of business correspondence including rules of grammar, sentence structure, punctuation, spelling and attention to detail.
- Ability to interpret and follow verbal and written instructions.
- Ability to communicate effectively, both verbally and in writing and exercise diplomacy.
- Interpersonal skills are necessary to effectively interface with all levels of personnel and work in a team environment.
- Will exhibit a positive business relationship with all coworkers.
- Superior communication and interpersonal skills with colleagues and clients.
- Must be highly organized and know how to prioritize while working independently with minimal supervision or while in communication with the team.
