Current opening for a full time, permanent placement Order Administrator with our client in the tech manufacturing industry!
Description:
This position is responsible for processing customer orders, which includes purchase order review, configuration, order entry, and invoicing as well as resolving discrepancies and answering customer inquires. The individual in this position will review letters of credit and prepare required documentation for presentation and collection. They will also determine export requirements for international orders. Assist with import issues as required. Majority of the communication is done through emails so very little phone work. Will need to have good writing skills.
1. Process customer orders for specific territories. Act as customer interface for all new orders and inquiries within territory.
2. Remain current on export (EAR, DOC, DOD, DOE, DOS) regulations and requirements and advise employees, customers, international subsidiaries, reps and distributors as needed to ensure compliance with U.S. export laws.
3. Review letters of credits, resolve discrepancies and prepare documentation for presentation and collection.
4. Review orders and resolve discrepancies related to pricing, configuration, payment terms, or delivery requirements. Ensure non-standard terms and conditions are documented and approved.
5. Configure orders from model numbers to part numbers.
6. Review scheduled ship date the customer's need date, and import and export requirements. If necessary, expedite order with Operations.
7. Maintain validity of the Backlog Detail Report. Provide customers with order status/scheduled ship dates.
8. Prepare necessary shipping paperwork, commercial invoices, and government shipping documentation. Provide Shipping Department with shipping instructions. Interface with freight forwarders and carriers to ensure shipments are made according to customer requirements and if required, trace shipments.
9. Prepare and distribute invoices. Provide copies of invoices for installable products to Service Department. Assist Finance in resolving any invoicing/collection problems as necessary.
10. As required, work with sales and configuration management to resolve configuration issues and obtain part numbers for new or "special" products.
11. As necessary, work with import broker to properly classify and process imports.
12. Compile, prepare, maintain and update customer data base and files to ensure accurate record keeping of the transactions.
13. Assist customs brokers with customs clearance as necessary.
Qualifications:
1. Bachelors degree with minimum of 3 years of order management/ customer service experience or a minimum of three years experience in high technology customer service, purchasing or order processing is required.
2. Minimum one year of experience in working directly with customers. Must be customer oriented and work diligently to satisfy customer needs.
3. Experience in export compliance regulations, processing letters of credit, and applying for export licenses preferred but not required.
4. Understanding of import requirements, tariff codes and liquidation procedures.
5. Ability to work effectively with a variety of organizations and customers. Excellent
communication and interpersonal skills, written and oral, and negotiation skills.
6. Must have excellent record keeping skills and pay great attention to detail. Requires strong analytical and problem solving skills and sensitivity to details.
7. Able to work effectively and responsibly with minimum supervision. Able to multi task, plan and prioritize work.
