What are the responsibilities and job description for the Office Assistant position at Astra Health?
This position is mainly responsible for sending and receiving orders requiring physician signature. They will also be responsible for the front desk by answering telephones, directing calls, taking messages, and greeting walk-ins. Also as needed receiving and distributing incoming mail and deliveries. All duties assigned must be completed in a timely and efficient manner while ensuring accuracy and providing customers with high quality customer service. The associate must at all times safeguard and protect the patient’s right to privacy by ensuring that only authorized individuals have access to the patient’s medical information and that all releases of information are in compliance with the request, authorization, company policy and HIPAA regulations.
Essential Duties and Responsibilities
· Be able to use a fax machine and copier.
· Willing to learn new equipment and processes quickly.
· Excellent organizational skills a must.
· Be able to multi-task.
· Receive and distribute incoming mail and faxes as needed.
· Answers and directs incoming calls in a courteous, expedient and professional manner; researches and responds to caller/visitor inquiries using all available resources, delivers messages in an expedient and professional manner.
· Be familiar with HIPAA laws and guidelines.
· Maintain a positive professional working relationship with all physician offices and office staff.
· Maintain specialty logs as directed.
· Assist other departments when needed.
· Perform special projects and miscellaneous duties as requested.
· Make outbound telephone calls to follow up on orders.
· Receive, sign for, and properly put away any FedEx, UPS, etc. deliveries.
· Must be able to type a minimum of 35 wpm.
· Works well individually and in a team environment.
· Handle time-sensitive and confidential material.
· Ensure office area is tidy and presentable.
· Helps organize in-service meetings, birthday celebrations and lunch-ins.
· Prepare staff and patient documentation for uploading and downloading to EMR.
· Ensure appropriate documents are organized and disseminated accordingly.
· Tracks, reviews for completion and uploads patient consent form.
· Maintains and updates hospitalization log and follows up on tentative discharge dates.
· Exports and uploads therapy visits from Therapy Boss into EMR on a daily basis.
· Ensure all appropriate documentation is received in a timely manner.
