As VP of Finance & Administration, you will serve in a key organizational leadership role by managing the Finance, Operations, and People functions for the organization. The VP will be responsible for financial planning and budgeting, forecasting, accounting and fiscal operations, financial reporting, and general operations activities including compliance, payroll & benefits, and contracts management. This role will serve as a key advisor to the COO and will be a member of the Senior Leadership Team. The ideal candidate is an experienced people leader with a proven track record of driving operational efficiencies.
What you will be doing and what we are looking for:
\n- Participate in executive conversations and decisions about the company direction, strategy, people, products, technology, markets and positioning.
- Serve as Financial Advisor to Executive Management for strategic planning and build detailed financial models to support resource allocation and decision-making processes.
- Own forecasting and budgeting as it relates to the organization’s strategic direction and scalable growth; collaborate with department leaders, understanding business fundamentals that inform the development of accurate forecasts.
- Collaborate with the executive team on the budget process and improving the planning and budgeting process on a continual basis by educating departments and key members of leadership.
- Analyze company’s financial results with respect to performance, trends, costs and compliance with forecasts; provide recommendations and take action on future operational priorities based on historical results to achieve financial sustainability.
- Design and build reporting systems for leadership and other departments to accurately track SaaS KPIs, and routinely review metrics to proactively identify and address issues affecting company performance.
- Provide formal monthly financial reporting to executive management and board of directors.
- Oversee all aspects of Athennian Finance, leading the Accounting, Tax and FP&A functions and overseeing month-end close, financial reporting, compliance, AP/AR, etc.
- Develop team OKRs that accelerate business objectives.
- Address customer disputes around non-payment and negotiate for early termination requests and/or refunds.
- Strategic ownership of Tax, Treasury, Currency Risk. Coordinate, in conjunction with Legal, the company’s compliance with local, federal and international government regulations.
- Interact with venture capital partners and board of directors.
- Develop and coordinate relationships with lending partners.
- Responsible for integrity of reporting shared with Internal and External users (Executive team, Board of Directors, Capital Partners).
- Responsible for the overall design, implementation and effectiveness of internal controls; foresee the impact of new processes and procedures on internal controls and actively take action to mitigate risks.
- Management and development of finance and accounting staff, including hiring, training and retention.
- Oversee development, oversight and management of organization’s treasury plan.
- Review, analyze and evaluate business procedures and implement policies that will improve day-to-day operations and drive efficiencies.
- Oversee facilities including planning, negotiating, and managing leases and contracts.
- Interface with Engineering leadership on IT strategy and requirements of the organization including overseeing relationships with IT vendors.
- Oversee office management including administration, supplies, materials, repairs, and maintenance.
- Oversee necessary insurance of the organization including Cyber coverage; work with the organization, insurance companies and the insurance broker on all incidents and claims.
- Oversee in-house legal function including ensuring efficiency and effectiveness of contracts function.
- Act as the Privacy and Compliance Officer ensuring that all policies relating to privacy and compliance are followed including delivery of SOCII audit report.
- Oversee planning, directing and management of People initiatives including recruitment, onboarding, performance management, compensation, benefits, and organizational learning and development.
- Ensure the People function understands the organization’s goal and strategy related to recruiting and retention.
- Align with Sr. Director of People to ensure staffing motions are continuously supporting the organization’s strategic objectives.
- Work with Sr. Director of People to manage organization’s compliance around local and international human capital laws and regulations.
- Ensure the company has a compelling and cost-effective Total Rewards offering for employees.
- Oversee the payroll function.
- Anticipate and resolve litigation and compliance risks.

While some roles may require proximity to our Toronto, Calgary and Vancouver offices, roles based outside our office locations can be remote in Canada and the US.
