Who We Are:

The Atlanta Community Food Bank is working to end hunger in our community with the food, people and big ideas needed so that no one worries where their next meal is coming from.  Since 1979, we’ve been providing food for a growing network of nonprofit partners – including food pantries, community kitchens, childcare centers, night shelters and senior centers.  We currently serve more than 700 partners in 29 counties across metro Atlanta and north Georgia.

Executive Assistant to the President/CEO

About the Role:

The Executive Assistant is a high energy, self-starter, and proactive individual charged with providing executive level support to the CEO of the Atlanta Community Food Bank.  The Executive Assistant  is charged with serving as the communications liaison with the Board of Directors and Board Committees, providing extensive calendar management, meeting preparation, support for internal and external communications, and will manage the CEO’s  daily schedule, as well as handling tasks on behalf of the CEO.  Independent judgment, problem solving, strong verbal and written communications skills and strong technical skills are required to accurately plan, prioritize, organize and deliver detailed results in this fast-paced role. 

What You’ll Do:

President/CEO Support:

  • Organizes, strategically manages and maintains detailed, complex calendars; anticipates executive needs and solves scheduling issues.
  • Interacts with influential leaders, stakeholders, donors, and/or external partners.
  • Writes clear documents using correct grammar, punctuation, and spelling; communicates effectively with others on an individual basis, as well as, in small and large groups; organizes and plans work to meet deadlines; establishes and maintains working relationships with colleagues, staff, and external parties;  represents the organization with diplomacy and tact;  maintains confidentiality of information.
  • Receives and reviews highly sensitive correspondence for President/CEO.  Recommends solutions or actions required.  Independently responds to routine correspondence under own signature or drafts response for President’s review on more complex correspondence. 
  • Screens telephone calls and visitors and resolves routine and complex inquiries. 
  • Possesses a broad proficiency in Microsoft Office products and the ability to quickly adapt to new software and web-based products used to support the President/CEO.
  • Coordinates meetings and information sharing with Executive team, internal staff and external parties and stakeholders including but not limited to Feeding America Leadership, Board and Advisory Committee members, elected officials, business leaders, and the public.
  • Leads the preparation of materials for the Board of Directors, Advisory Committee, and Board Committee meetings including the Board packet, Board orientation notebook and reference materials, correspondence, room set-up and related duties.
  • Maintains an organized electronic or paperless process for document management.
  • Prepares agendas for various meetings, planning and logistics for special projects and events as assigned

Liaison to Board of Directors

  • Addresses individual Board member needs and preferences and is responsible for ensuring all Board business is carried out successfully.
  • Develops the annual Board of Directors Calendar and Board Committee schedule.
  • Sends meeting notices, prepares agendas and maintains materials on the Board for all Board Meetings.
  • Organizes, attends and takes minutes of Board Meetings (4-6 per year) and all Board Committee meetings.
  • Plans and organizes all facets of the annual Board Retreat, Board Events, etc.
  • Orients new members as needed.
  • Coordinates hotel accommodations and processes expense reimbursement.
  • Maintains files and retains minutes and materials in a secure confidential manner and in accordance with Board policy and regulations.

What You’ll Need:  Skills and Experience your resume should demonstrate:

  • Extensive experience organizing senior executives, including demonstrated experience multi tasking, project management, engaging with other senior leaders, community leaders, or the  like, as well as utilizing discretion, attention to detail, and research capability.
  • Knowledge of advanced MS office applications, including Word, PowerPoint, Excel and Outlook, including the following:
    • PowerPoint: ability to create dynamic PowerPoint presentations appropriate for a variety of audiences
    • Excel:  manage, maintain, and manipulate data to produce a variety of reports to be used for decision making
    • Word:  the ability to create and manage professional correspondence
    • Outlook:  manage complex calendar management, meeting scheduling, message/inbox organization, task management etc.
  • Excellent social skills, including the ability to operate with diplomacy, tact and empathy with a diverse group of internal and external stakeholders.
  • A high degree of personal organization, self-management, and discretion.
