Position/Title: Operations Coordinator
Reports To: Business Operations Manager
Job Summary
AV-Waves is an audio/video and home automation installation company serving the Greater Tampa Bay area. We are looking for an energetic, self-starting individual to join our growing team as an Operations Specialist. As part of our operations team, you will collaborate with multiple team members, leaders, and stakeholders, participating wherever necessary to ensure smooth, efficient operations. Our ideal candidate has a wide range of applicable skills, from strong computer proficiency with office productivity suites to attention to detail with data entry tasks. In this role, you will juggle multiple projects simultaneously, necessitating time management, multitasking, and organizational skills. AV-Waves has aggressive growth plans and the right person can turn this position into a long and prosperous career.
This is an office-based position location in Oldsmar, Florida. Occasional remote work is allowed once training is complete.
Main Duties and Responsibilities
- Manage the proposal process from review/internal approval to customer approval and invoicing.
- Inventory management including ordering product as needed, receiving and entering invoices into QuickBooks Online.
- Coordinate the installation and service call schedule with Team Leaders.
- Maintain project files to insure complete records and accurate profitability reports.
- Effectively and professionally interface with all departments, customers and vendors.
- Support Sales with the bid process for new projects including cursory review of plans and reporting findings.
- Oversee the monthly email newsletter process.
- Occasional in the field support of the install team as well as personally interacting with clients will be required.
- Perform other duties as required to meet the needs of our internal and external clients.

Requirements and Qualifications
- Associates degree or greater preferred.
- Proficiency with common office productivity software.
