Job Summary


  • Assist sales and production staff with various administrative tasks


Essential Duties and Responsibilities


  • Maintain and update integration project files on the network
  • Assist with resolving problems pertaining to integration orders
  • Assist sales staff with proposals and bids
  • Schedule meetings for sales and production staff as needed
  • Manage incoming and outgoing packages delivered to the office
  • Distribute mail/faxes and other office correspondence
  • Answer phones and provide high level customer service support
  • Create sales orders/PO’s for equipment, supplies and tools
  • Enter orders into online order system
  • Handle quarterly inventory reports in absence of warehouse personnel
  • Provide weekly billing status reports
  • Work with accounts payable to resolve any billing issues with equipment or labor invoices

  • Ability to balance multiple tasks with changing priorities
  • Ability to work and think independently and ensuring to meet deadlines
  • Demonstrated ability to maintain strict confidentiality and handle sensitive matters with discretion
  • Excellent attention to detail and organizational skills
  • Must have clear and professional communication skills (written and oral) both internally and externally
  • Proficient with Microsoft Office (Word, Excel, Outlook)
  • Effective communication and interaction with employees, clients, and colleagues and the ability to work effectively with all levels of the organization
  • Demonstrated customer service focus and client communication skills


Education and/or Experience


  • Minimum high school diploma or equivalent
  • Minimum 2-4 years of customer service, data entry and/or administration experience preferred
