Job Summary
Assist sales and production staff with various administrative tasks
Essential Duties and Responsibilities
Maintain and update integration project files on the network- Assist with resolving problems pertaining to integration orders
- Assist sales staff with proposals and bids
- Schedule meetings for sales and production staff as needed
- Manage incoming and outgoing packages delivered to the office
- Distribute mail/faxes and other office correspondence
- Answer phones and provide high level customer service support
- Create sales orders/PO’s for equipment, supplies and tools
- Enter orders into online order system
- Handle quarterly inventory reports in absence of warehouse personnel
- Provide weekly billing status reports
- Work with accounts payable to resolve any billing issues with equipment or labor invoices

- Ability to work and think independently and ensuring to meet deadlines
- Demonstrated ability to maintain strict confidentiality and handle sensitive matters with discretion
- Excellent attention to detail and organizational skills
- Must have clear and professional communication skills (written and oral) both internally and externally
- Proficient with Microsoft Office (Word, Excel, Outlook)
- Effective communication and interaction with employees, clients, and colleagues and the ability to work effectively with all levels of the organization
- Demonstrated customer service focus and client communication skills
Education and/or Experience
- Minimum high school diploma or equivalent
- Minimum 2-4 years of customer service, data entry and/or administration experience preferred
