Primary Responsibilities
Located in Glen Mills, the Office Coordinator will manage the lobby area and provide positive first impressions when welcoming guests. This role will coordinate front-desk activities, including greeting visitors, answering the telephone, and contacting employees regarding visitors. The Office Coordinator is the first point of contact for guests visiting the office or contacting the organization and must possess excellent written and verbal communication, interpersonal, and multitasking skills.
Responsibilities:
- Greet clients/visitors with a positive, helpful demeanor and direct them to the appropriate person or office
- Answer, screen, and forward incoming calls
- Provide basic and accurate information in-person and via phone
- Receive, sort, and distribute daily mail and deliveries
- Handle outgoing mail/postage and managing the postage machine
- Help maintain workplace security by issuing, checking, and collecting badges as necessary and maintaining visitor logs
- Ensure office is tidy and presentable
- Copier maintenance/including service and stocking paper in machine and holding areas
- Ordering all office supplies
- Servicing and stocking the coffee machines in all kitchen areas
- Maintain all kitchens including - Stocking paper towels, condiments, etc., refrigerator cleanouts
- Responsible for respective office invoices
- Assist with a variety of administrative tasks as needed
Minimum Requirements
- Associate’s or bachelor’s degree in a related field required
- Prior experience as a receptionist or in a related field
- Professional attitude and appearance
- Excellent written and verbal communication skills
- Ability to be resourceful and proactive as issues arise
- Outstanding organizational skills
- Strong multitasking and time-management skills, with ability to prioritize tasks
- Competency in Microsoft applications including Word, Excel, and Outlook.
- Able to contribute positively as part of a team, helping out with various tasks as required
