HQ Utilities Sourcing Specialist

As the HQ Utilities Sourcing Specialist, you will manage NAM utilities suppliers and global utility bill management program, support commodity KPIs for cost savings, monitor trends and liaise with internal stakeholders on all utilities supplier matters.

As an HQ Utilities Sourcing Specialist, you will be responsible for:
Monthly Invoicing Process
- Daily monitoring of inbound webMethods file load and receipt of Engie consolidated bill notification
- Monthly authorization of ICH invoice rebill on 15th of each month [CRITICAL]
- Monitoring carryover amount in the appropriate BKR SAP cost center
- Troubleshooting support to internal IT department and Engie on webMethods file load [CRITICAL]
- Troubleshooting support to internal Accounts Payable (AP) in the event of a 3-way match failure; will communicate the outcome / resolution steps to Engie [CRITICAL]
- Troubleshooting support to internal AP and Engie on payment advice confirmation
Utility Account Management
- Authorizing addition / modification of utility accounts in the Engie Utility Expense Management system, ensuring site / account set up forms are properly supported, including gathering the required account set-up fields
- Ensure that accounts needed to be terminated are closed out properly, working with the local Indirect Sourcing or Facility Manager and/or North America portfolio managers as needed
- Research unknown accounts working with Global Real Estate team
- Communication of required information to site manager in a request for the addition / removal /modification of accounts (e.g. cost center update)
- Communication of addition / removal /modification of accounts to Engie
- Communication of addition / removal /modification of accounts to ICH team
GRE Internal Controls
- In the case where a bill does not fall within Engie’s calculated range of reasonableness, obtain evidence of email notifications that this has been noted and work with the local GRE Facility Manager to either obtain agreement to pay or determine additional action needed
- If audit controls are implemented, completion of all workpapers and documentation requirements defined within the control(s)
Engie relationship management
- BKR primary point of contact for Engie to support administrative requests e.g., setting up / removing user access, and training users
Reconcile transitional BKR Headquarters (HQ) cost centers between Engie and ICH
- Responsibility for reconciliation of utility invoice postings on BKR HQ cost centers (US and Canada)
- Monitor and lead resolution for any utility invoice open items not cleared more than 4 weeks
Utilities usage reporting
- Run usage and cost reports periodically for internal stakeholders in sourcing, HSE & ESG groups.
Fuel your passion
To be successful in this role you will:
- Have a bachelor’s Degree from an accredited university or college
- SAP experience using accounting/finance modules
- Experience with Blackline or similar software for intercompany billing.
- Comfortable working in a cross-matrix organizational structure
- Have excellent oral and written communication skills
- Have effective interpersonal and leadership skills
- Be able to analyze and resolve problems
- Able to work independently
