Your role at Baxter

As a Planner, you will have a critical role supporting Baxter’s meeting and events portfolio globally. You have lots of ideas grounded in knowledge of the meetings and events industry. Your skills in planning and implementing these ideas are what make you an outstanding business partner to your stakeholders. You critically think through problems and communicate your ideas in a way that encourages collaboration.

You will have a key role a) developing and implementing all vital logistics for multiple internal and external meetings, conference and events, b) working closely with cross functional partners and c) guiding stakeholders through the full scope of the planning process, including program design and management, project timelines, budget management, third party relationships, meeting execution and program close out tasks while understanding and supporting the overall goals of the meeting.

What you'll be doing

  • Determines and plans detailed meeting logistics (i.e. registration requirements, room set-up, function times, audio visual, menu selections, on-site/off site events and activities, DMC operations, special events, ground transfers, room deliveries, VIP needs, attendee management, etc.).

  • Leads third party vendors during planning process and onsite during meetings and events, when appropriate.

  • Initiates meeting stakeholder contact and engages appropriate team members.

  • Prepares and monitors budget throughout planning and execution.

  • Reviews supplier invoices for accuracy and ensures timely payment and final billing process.

  • Works to incorporate CSR (Corporate Social Responsibility) and Green initiatives of Baxter into meetings/events when possible.

  • Provides guidance on standard processes to meeting customer.

  • Participates operational site visits.

  • Manages on-site execution of meetings and events.

  • Ensures corporate and government compliance by maintaining audit ready records.

  • Responsible for protecting confidential information of Baxter, third party meeting vendors and the meeting stakeholder.

  • Conducts oneself in a professional and approachable manner.

  • Assumes and performs other duties and responsibilities not specifically outlined herein, but which are logically and properly inherent to the position.

What you'll bring

  • Minimum Bachelor’s degree, with major in business, communications, hospitality, or related field.

  • 3 years professional experience.

  • CMP or equivalent industry certification

  • Cvent experience, certification preferred.

  • Travel industry and destination knowledge

  • Bi-lingual (Spanish preferred)

  • Highly organized self-starter who is willing to work as a team and independently and take initiative.

  • Demonstrated strong communication skills and ability to facilitate large group meetings to a successful outcome.

  • Ability to travel ~50% domestic and international.

  • Ability to work well under pressure and adapt to ever-changing scenarios.

  • Strong problem-solving skills

  • Strong attention to detail

  • Ability to work independently with minimal supervision.
