HR Assistant Job Description

HR Assistant’s role is to assist the Vice President in ensuring compliance in the HR Department as well as tracking employee progress in education, expertise, and professional development.

Recruiting, Employee Benefits, Annual Reviews, and Termination - to include but not be limited to:

  • Manage recruiting & hiring for the company
  • Developing & maintaining a CRM database for resumes and people interviewed as well as past employees
  • Developing & maintaining a regular schedule of an email campaign for recruiting, educational/safety classes, company announcements, etc.
  • Track PTO (vacation, sick time – especially with NYC & Federal sick time)
  • Provide payroll specialist with Weekly Updates (including new hires, terminations, pay changes, per diems, PTO/Call Outs, benefits, leave: Workers Comp/Medical, additional funding, referrals, production differentials, reimbursements/deductions, etc.)
  • Tracking employee education, apparel, certificates, benefits, etc.
  • Auditing & maintain personnel records ensuring compliance – including but not limited to, Acknowledgements, Benefits, Certifications, Employee Reviews*, Vacation Tracker, Worker Comp/OSHA claim.
  • Maintain and update BambooHR with sign-offs, new hires, announcements, etc.
  • Oversee & Coordinate the Roll Out of Benefits (Healthcare; AFLAC; 401K) as well as maintains records to ensure compliance
  • Maintain the Retirement Plan’s weekly contributions (401k, Roth IRA, etc.)
  • Setting up & tracking monthly 1 on 1 meetings (or phone calls) between Vice President and individual employees o Develop/Maintain a Calendar for Employee Reviews
  • Implement company culture, values, and policies
  • Closing out employee files when terminated (removing from payroll, bamboo hr, and their physical folder)
  • Familiarize and become knowledgeable with unemployment claims
  • Familiarize and become knowledgeable with Worker Comp and OSHA files
  • Updating and distributing company employee telephone phone lists

New Hire On-Boarding, Orientation, and Education - to include but not be limited to:

  • Set up & maintain all New Hire & Orientation material (applications, Field Manuals, PPE’s, DOT, etc.)
  • Reviewing Employee Manual with new hires
  • Starting new hire files
  • Ensuring HR compliance – I9 / benefits waivers/rate of pay notifications, etc.
  • Checking all new hire paperwork to ensure it is completed correctly
  • Tracking PPE
  • Develop Procedure
  • Reference sheet for ordering / re-supplying PPE
  • Setting up monthly educational & safety classes for field personnel o Manage Education Calendar – Advanced Education, Leadership & Safety Courses
  • Track all certifications
  • Assist Vice President with the Apprenticeship Program for NY, CT & Other States as required

On-going Education

  • Notary Certification within 30-days of hire
  • CALT Certification with 3 months of hire
  • HR Certificate within 6 months of hire
  • Listen to / attend at least (1) webinar/week on topics related to HR Laws & Regulations, Recruiting, EmployeeRetention, Benefits, etc.

The HR Department requires continual organizing and streamlining of processes. Therefore, a successful candidate must have experience in:

  • MS Office 365oOutlook (email/calendar/contacts)
  • Word
  • Excel (pivot tables & V-lookups a plus)
  • Strong proficiency with priority & time management
  • Fluent in Spanish, a plus
  • Strong Organizational Skills
  • Capability to multi-task
  • Ability to build rapport with all employees
  • Strong leadership qualities
  • Experience in conflict resolution

We are currently targeting $50k for this role. We have several opportunities to increase base pay by achieving certain milestones (see below) and the company also provides reimbursement for certification and SHRM membership. All of these together (when completed) would make the total comp package worth $64,809.

Maximum Starting Salary: $50,000

  • Notary: .50/ hour raise = $1,040 (should have within 30 days of hire)
  • CALT Credential: $1/hour raise = $2,080 (should have within 90 days of hire so they can understand the work we do)
  • Healthcare contribution $400*/month = $4,800 (after within 90 days of hire)
  • HR Certification: $2/hour raise = $4,160 plus CSC will reimburse for the course
  • Reimbursement for HR Certification = $2,500 (approximate cost; certification goes with employee)
  • SHRM Membership: $229/year (membership goes with employee)

TOTAL VALUE OF COMPENSATION PACKAGE: $64,809 Salary of $57,280 plus training & certification provided by CSC would be transferrable to any industry if applied correctly (that being said, it's the Employer's hope the employee stays long enough to provide the value of the training provided and paid for)
