COLLECTIONS FORECLOSURE DUTIES/RESPONSIBILITIES:
- Processes all mail for Collections Foreclosure practice group. (i.e., save in the matter’s workspace and email to respective Paralegal)
- Captures postage and copying expense.
- Preparation of various clients correspondence, including but not limited to miscellaneous administrative letters such as payment letters.
- Close matters.
- Preparation of monthly status reports for Paralegal review.
- E-mail final status report to clients.
- E-file pleadings in various Counties throughout the State of New Jersey or New York.
- E-recordings of Liens.
- Process check requests and check deposits.
CLIENT CONTACT:
- Answers the telephone and routes the call to the appropriate party/department. Notifies the person receiving the calls which attorneys are not in the office (PTO, in trial, etc.)
- Greets clients and other visitors to the office and notifies appropriate individuals of their guests’ arrival.
- Shares in responsibility of regional office telephone coverage, when needed.
- Check attendance calendar for attorneys and staff for the day.
- Offer and serve beverages to clients and attorneys in the conference room(s).
- Set-up and clean-up of conference room(s), lounge or other rooms used for meetings or gatherings.
- Keep business card holders in lobby area filled.
ADMINISTRATIVE DUTIES:
- Opens, scans, and distributes daily mail with the assistance of Office Services. Handles FedEx and occasional errands.
- Trust check daily - Facilitates getting checks signed, scan checks and distributes to recipients.
- Delivers incoming mail to appropriate recipients within the office.
- Helps with scheduling of visiting attorney offices and conference room reservations.
- Receives and distributes all incoming faxes.
- Handles all food orders for firm-related or client meetings.
- Assists with large mailings and other non-priority projects.
- Helps prepare for marketing events.
- Assists with logging incoming litigation vendor invoices, scans them to Office Manager.
- Assists with facilitating payment of incoming vendor invoices for the Mount Laurel office.
- Assist Office Manager with facilities management.
- Checks paper levels on all copiers and printers daily. Meet with vendors and service providers as needed.
- Maintain upkeep and replenishment of office and breakroom supplies.
- Prepare offices for attorneys/guests (i.e. working phone, computer, etc.)
- Store supplies upon receipt, verify received items and forward packing slips for approval.
- Ensure all office equipment is up and running.
- Assist with preparation of check requests.
- Assist with petty cash.
- Assist as needed with CMS Attorney/Paralegal time entry.
Any and all other duties as may be required of the position.
Required Skills/Abilities:
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to organize files and workflow.
- Expert level of Microsoft Office and experience working with PDF’s.
- Collection and Foreclosure software programs a plus.
- Familiarity with iManage, File Site, and Aderant, preferred.
Education and Experience:
- High School Diploma required; Associate degree preferred.
- A minimum of two to three years related experience in a law firm or corporate legal environment required.
