JOB SCOPE/ SUMMARY:
- Ensure proper operation and maintenance of office building and ground functions
- Coordinate the administration of the design, planning, construction and alteration of equipment and machinery
ESSENTIAL FUNCTIONS:
- Plan, direct and schedule office support services and maintenance of facilities and grounds.
- Develop and maintain an operating budget to keep maintenance and office support at a cost-effective basis.
- Select, train, set performance standards and evaluate performance of janitorial and office support staff.
- Coordinate, update, maintain, audit and schedule preventative and ongoing preventative maintenance for all equipment to include: service records, files and operating hours; also monitor and ensure maintenance of all environmental and safety related records.
- Assign job numbers, record work performance, track labor hours, material costs and maintain weekly operator inspection forms.
- Review and monitor monthly P&L in conjunction with Plant and Maintenance Managers.
- Complete capital assets forms and submit for approval, ensure all purchase orders are entered, make bank deposits, administer and maintain petty cash and employee paint purchase program.
- Provide telecommunications coverage, arrange travel, provide general office support and schedule work hours for janitorial and office support staff ton include assisting with evaluations.
- Assist in building area inspections to evaluate suitability for occupancy, planning, budgeting and scheduling facility modifications.
- Establish and maintain appropriate inventory levels, order stock parts with pre-approved vendors and facilitate issuances.
JOB QUALIFICATIONS:
EXPERIENCE/EDUCATION/TRAINING:
- Educational attainment equivalent to high school education
- Coursework and/or training in purchasing, inventory control, and office administration
- Accredited Purchasing Practitioner (APP) certification is required
- Negotiation skills training through an accredited program is necessary
- Thorough experience in administrative, inv control, purchasing, building maintenance and office support is required
- Supervisory experience
KNOWLEDGE/SKILLS/ABILITIES RECOMMENDED FOR POSITION:
- Thorough knowledge of office administration, maintenance, support practices and purchasing
- Supervisory principles, leadership techniques, budgeting and practices
- Knowledge of paint purchase program and travel guidelines
- Computer skill s and Ability to work independently
- Project management skills
