Exciting Metropolis location and state of the art event experiences: Applicants must be experienced with all steps in handling incoming inquires, meeting clients for site tours, proactive approach with details and follow through.
Experience with working with prospective social and corporate clientele. The ability to work in a fast-paced environment as well as being a true hospitality professional is essential. Aid and support for the daily Bell Works team, including but not listed to, computer input, answering incoming emails and phone calls, compiling revenue reports, assisting with event setup and coordinating with operations and the marketing team when required.
Qualifications
Physical Requirements;
- Ability to be mobile /walk / stand for lengths at a time
- Able to lift/push/carry or pull up to 25 pounds and move objects such as tables, chairs and staging.
General Requirements:
- Ability to proactivity multitask in a timely and organized fashion.
- Ability to input and access data in computer.
- Ability to professionally respond and follow up with all telephone, website and walk in inquiries.
- Ability to ascertain client’s needs and comply with such to ensure 100% event satisfaction.
- Ability to be a clear thinker who can remain calm in pressure situations.
- Ability to focus attention on details, be well organized and follow up.
- Ability to maintain confidentiality of client information
- Ability to work with minimal supervision
- Ability to work cohesively with other departments as part of a team.
Duties & Functions
Fundamental Requirements:
- Negotiate and contract for events over 150 guests including, but not limited to, weddings, corporate events, galas, vendor events and meetings.
- Initiate friendly welcoming and exceptional customer service with every client, build rapport and trust.
- Maintain a close relationship with all Departments on a daily basis.
- Ensure that all departments are properly informed of all contractual agreements.
- Liaise with clients to identify their needs and to ensure customer satisfaction
- Organize and attend client meetings, site visits, and appointments.
- Prepare and execute Caterease reports.
- Present event details in weekly team meetings when required.
- Maintain well-documented, accurate, organized and up-to-date event information.
- Contact with client to obtain as much information as possible either by phone or correspondence to ensure a smooth hand off of the event to the assigned Bell Works Event Coordinator.
- Handle vendor appointments when requested.
- Establish proper billing procedures for all required contract deposits.
- Work to establish and grow recommended vendors
- On property for contracted events when requested, including at times, early mornings, late nights, holidays and weekends.
Education & Experience:
- Some college or business school training. High school graduate.
- 3-4 years previous experience in hotel/conference/hospitality industry
- Ability to provide professional communication
- General Knowledge of Windows, Word / Excel and Office
- Past experience with booking software program such as Caterease, Envision, Opera, Delphi, Social Tables, etc.
- Experience with Kosher events and South Asian weddings a plus.
