Duties:
- Provide administrative support to executives, including managing calendars, scheduling meetings, and making travel arrangements.
- Answer and direct phone calls, take messages, and respond to inquiries.
- Prepare and proofread correspondence, reports, and presentations.
- Transcribe meeting minutes and distribute to relevant parties.
- Maintain and organize office files, both physical and electronic.
- Assist with document management, including scanning, copying, and filing.
- Coordinate logistics for meetings and events, including room setup, catering, and audiovisual equipment.
- Greet visitors and provide excellent customer service at the front desk.
- Manage office supplies inventory and place orders as needed.
- Assist with special projects as assigned.
Skills:
- Proficient in using phone systems to handle incoming calls professionally.
- Excellent proofreading skills to ensure accuracy in written communications.
- Ability to transcribe meeting minutes accurately and efficiently.
- Familiarity with Google Suite or similar productivity tools for document creation and collaboration.
- Strong customer service skills to interact with visitors and provide assistance as needed.
- Experience working in a front desk or receptionist role is a plus.
- Knowledge of office procedures and clerical tasks.
- Familiarity with electronic signature software such as DocuSign is preferred.
