Position Summary:

Then you may be interested in our IP Docket Specialist position. This role is perfect for the person who wants to be the go-to expert and use their background in docket in the intellectual property world, who is detail-oriented and desires a strong sense of accomplishment at the end of the day.
The IP Docket Specialist is a detail-oriented and organized professional who manages and maintain Benesch's IP docketing system. This versatile professional is responsible for ensuring the accurate and timely handling tracking of all patent deadlines, filings, and correspondence in both U.S. and international patent filings. This position requires strong organizational skills, attention to detail, and the ability to handle large volumes of data efficiently while ensuring compliance with global patent regulations
Essential Functions:
- Maintains and updates the IP docketing system, including entering new filings, monitoring deadlines, and tracking all related correspondence and documents for both U.S. and international filings.
- Coordinates with attorneys, patent agents, paralegals, and external counsel to ensure docketed deadlines are met, both domestically and internationally.
- Generates and distributes regular reports on upcoming deadlines and action items to relevant team members, ensuring proactive management of all critical dates.
- Performs quality control checks to ensure the accuracy of docketed information, including cross-checking deadlines and ensuring all necessary documents are filed on time.
- Assists with the maintenance and organization of patent records and files, ensuring compliance with Firm policies and best practices.
- Utilizes software tools to stay up to date on changes in U.S. and international patent regulations, deadlines, and procedural requirements to ensure compliance.
- Assists in resolving any discrepancies in the docketing system and supports audits of the patent docket as needed.

Qualifications:
The Intellectual Property Docket Specialist must have an Associate's degree or equivalent experience in a legal or IP field. Prior experience working in an IP law firm or corporate legal department is highly preferred. This individual must have working knowledge of U.S. and international patent prosecution and intellectual property rules and procedures. Proficiency with IP docketing software (e.g., CPI, Anaqua, FoundationIP, or equivalent), prosecution docketing/support, and other legal practice management tools is necessary. The Intellectual Property Docket Specialist should have excellent organizational skills and attention to detail, with the ability to handle large volumes of data accurately and efficiently. In addition, strong written and verbal communication skills in addition to the ability to manage multiple tasks, prioritize deadlines, and work effectively in a fast-paced environment is essential. Experience working with international counsel and familiarity with foreign intellectual property filing processes is preferred. Must be detail oriented, possess exceptional organizational skills, and have the ability to handle multiple tasks simultaneously. Must possess an excellent customer service attitude. Flexibility to work overtime as necessary is helpful.
