Corporate Administrative Assistant (Troy, MI)
Summary:
Assists the CEO with various tasks and manages functions of the corporate office.
Corporate Administrative Assistant Responsibilities:
- Assists the Executives in initiation or completion of assignments or projects.
- Communicates with the general staff on the CEO’s behalf and coordinates logistics with high-level meetings both internally and externally.
- Create meeting agenda, minutes, and other follow-up communication.
- Runs business meetings via Microsoft teams and using PowerPoint.
- Prepares information and research for executive needs.
- Provides critical, highly confidential, and professional administrative support for the Executive staff.
- Arranges travel, accommodation, itineraries, and all correspondence related to arrangements.
- Create and share daily reporting with upper management.
- Plans/organizes and implements events such as meetings, business luncheons and client dinners.
- Prepares reports, presentations, and data, as well as maintaining files, records, and correspondence for meetings.
- Plans company events and meetings.
- Performs clerical duties, taking memos, maintaining files, organizing documents, photocopying, faxing, collating, etc., as needed.
- Handles confidential information; organizes and maintains files.
- Handles high level client and member communication, if needed.
- Work with office vendors and the IT department for all office needs.
- Communicate with the landlord and coordinate any issue with the property.
- Ensure all BeneSys rules/procedures are being followed.
- Conduct HIPAA Quarterly desk audits.
Corporate Administrative Assistant Qualifications:
- Associates degree in business or a related field preferred.
- 2 years’ experience in an administrative role reporting directly to upper management.
- Ability to read, analyze and interpret general correspondence.
- Ability to effectively communicate information and understand information presented orally.
- Candidate must be able to prioritize and respond to inquiries from managers, clients, vendors, and participants in a timely, concise, professional manner
- Ability to interpret and present a variety of instructions furnished in written or oral form.
- Flexible and able to deal with ambiguity and change
- Must be able to prioritize tasks and requests
- Outstanding interpersonal skills.
- Able to work with confidential and sensitive information in a discreet manner
- Exceptional written and verbal communication.
- Excellent organizational skills and attention to detail.
- Good problem-solving ability.
- Advanced skills in MS Word, Excel, PowerPoint, and Outlook
Work Schedule
Full time. Monday – Friday 7:30am – 4:30pm. Flexible schedules available with the potential to work from home occasionally after 90 days!
