Job Description: The ROS oversees the development of the OREG online (web) presence and web services. Working with Office of the Registrar staff, manages the development and implementation of content on web pages. Responsible for writing and organizing written content and working with web designers to produce a final layout compatible with College standards. Responsible for verifying facts. Implements and maintains editorial policies and standards. Under the general direction of the Registrar, the Registrar Operations Specialist (ROS) is responsible for managing the standard operation procedures within the scope of the Office of the Registrar (OREG) through print and web media. The ROS is responsible for all OREG owned content on berklee.edu, e.g. consistent, timely and accurate information; this includes all forms, policy and procedures. The ROS works strategically with OREG staff to develop effective ways of communicating with the college community in accordance with the academic calendar. The ROS manages, organizes and aligns OREG SOP’s to ensure efficient workflows, to reduce redundancy and overlap. Capabilities Required (Experience, Education, Know-how, Skills): Three to five years of experience in Higher Education, Student Records and Registration is preferred; background in print media and web presentation. Bachelor’s degree in related field or the equivalent preferred. Excellent written and verbal communications skills, strong proofreading, copy editing skills, and knowledge of graphic design concepts and terminology. Strong organizational skills to manage resources effectively. Has knowledge of commonly-used concepts, practices, and procedures in higher ed. Ability to work on many projects simultaneously, and interact effectively with a varied constituency. Is resourceful, has strong problem-solving skills. Background in business process evaluation preferred. Strong project management skills Expected to have some knowledge of HTML. Ability to work effectively under minimum supervision. Experience with college policies and procedures helpful. Use of Capabilities (Illustrated by Typical Activities): 1. Guides the development of OREG online presence and services Works with OREG staff to develop an effective online presence. Ensures the process for publishing OR content online. Serves as the primary resource for integrating OR services and content into the college’s online resources. Works with staff to lead projects executing the development of OR services online. 2. Manages web media in support of events and services run by the Office of the Registrar. Coordinates the effective dissemination external web pages internal web pages, and the College internet portal. Manages tools and software necessary to support both desktop and web publishing. Represents OR content concerns as impacted by business process development. 3. Develop appropriate methods of internal communication that support the internal workflow and processes within OREG. Works strategically with Registrar to develop the best way to communicate information and develop content regarding specific events and services events include Registration, Graduation, Check-In and Add/drop. Develops long term strategies for maintaining and updating content as new services are implemented. Assess the effectiveness of various methods of communication in relation to different types of events and services. 4. Establishes procedures for editorial review, media workflow and control of revisions. Develops efficient processes for managing the use of various media considering publication cycles, revision impacts, effectiveness, etc. Establishes standards for organizing information to support timely and effective communication. Document and communicate new standards to relevant constituencies. 5. Oversees bi-annual College Registration Cycles. Develop and update registration tutorials for student and the community that support the navigation of Self-Service. offerings, course descriptions, registration procedures and policies, registration appointment times, etc. 6. Coordinates and maintains cyclical Registrar content. Manages a calendar of standard publication dates and ensures that the content is up to date and media is published on time. 7. Manage the web content supporting Office of the Registrar services. Works to ensure that the online content supporting Office of the Registrar events and services is organized effectively and up to date. Using the Office of the Registrar web pages, the College portal and Student Affairs web pages, ensure that information is easily accessible and accurate.
