Administrative Assistant
Job Responsibilities
- Provide administrative support to multiple departments and front desk support within a Civil Engineering and Design firm
- Manage daily office operations including organization and stock/restocking of supplies in kitchen/coffee bar areas and supply/copy rooms
- Oversee purchase of office supplies and overall front office activities
- Assist in planning company events, meetings, lunches, and employee team-building activities
- Make travel/hotel reservations as needed
- Prepare expense report(s) reconciliation for senior leaders as needed.
- Check and distribute ingoing/outgoing mail
- Assist with composing, compiling, and binding marketing materials for project pursuits
- Receive package deliveries, and couriers, and distributes them to appropriate employee/department upon receipt
- Prepare FedEx, UPS, and other express carrier packages for shipment
- Other duties as assigned and uses greater judgment and initiative to determine the approach or action to take in non-routine situations
Job Requirements
- Minimum of 3-5 years of administrative experience, and proven ability to work with limited supervision
- Must have excellent time management skills, and the ability to coordinate with all levels of staff and handle multiple tasks
- Strong proofreading and editing skills and grammar
- Proficient in Word, Excel, and Outlook
- Experience working in the professional services industry is a plus
- Dependability/Reliability is a must
