Office Manager
Essential Duties and Responsibilities:
Transaction Coordinator - Utilize company software programs to manage the transaction process from beginning through closing for all buyer and seller contracts. Maintain company files according to internal policies and state regulations. Assist accounting department with processing commission checks and payables when needed.
Residential Agent Training - Facilitate new agent orientation to include all on-boarding functions. Provide initial and ongoing training sessions to ensure agents are utilizing company software to efficiently manage their busines and follow company best practices.
Supply Management - Inventory and purchase office and cafe supplies. Order yard and directional signs and frames as well as company-branded collateral material and merchandise.
Facility Maintenance - Monitor seasonal and regular maintenance of all buildings and equipment in our offices. Perform or coordinate repairs as needed.
Administrative Functions - Work with our I.T. department to avoid disruptions with our services. Monitor data usage for company mobile phones and tablets. Create and implement ongoing processes and procedures to maintain a smooth functioning office environment. Negotiate and manage vendor contracts. Function as executive assistant to Management.
Knowledge, Skills, and Abilities:
Strong computer skills including installing and troubleshooting programs and equipment. Proficient with Microsoft Office and Gmail/G Suite. Mac experience a plus. Ability to manage multiple projects, problem-solve, organize and delegate appropriately. Professional demeanor when dealing with external and internal customers and vendors.
