Hours: Primarily Monday through Friday 7:45am to 4:15pm. 
*Must be flexible with schedule depending on the need. 

General Description of the Position:
To perform accurate general office work, to maintain a positive working relationship with other staff, and follow established policy and procedures and provide direct supervision to one staff member. Will accept responsibility for independent decision-making. Projects a professional image to the public and portrays appreciation of work ethic, pride in work well done, and the importance of quality work. 

Qualifications:
  • Minimum qualifications include graduation from high school and two years advanced education, preferably holds a bachelor's degree.
  • Five years' experience in general office practices and procedures.
  • Must be proficient in Microsoft Office Suite, have the ability to operate a personal computer, telephone system and general office machines.
  • Must possess a valid driver's license and pass a drug test.

Responsibilities:
  1. Assist VP of Finance with various finance and budget related projects
  2. Facilitate the full execution of contracts and facility use agreements
  3. Manage and file hardcopy and electronically all contracts entered into by the organization
  4. Assist with renewal and placement of all Commercial Property & Liability, Bonds, Workers' Compensation and any other insurance policy to minimum exposure and financial risk to the organization
  5. Work with commercial insurance agent for GSA vehicle and agency vehicle coverage
  6. Vehicle accident reporting, tracking and follow up
  7. Facilitate and manage reporting all property and liability insurance claims to insurance agent
  8. Provide assistance to claims adjusters, as needed, to bring open claims to a responsible and quick resolution and in a manner most benefiting the organization
  9. Serve as a backup to the Safety Coordinator
  10. Serve as a member of the Safety Committee
  11. Lead the procurement and disposal process of organization vehicles and other assets as assigned
  12. Administer Fleet Card Program
  13. Perform titling, licensing and insuring agency vehicles
  14. Assist in managing grant applications and provide education to organization staff on allowable costs
  15. Serve as liaison to the maintenance department regarding planning and carrying out projects and provide operational assistance as necessary
  16. Assist in management of vehicle fleet
  17. Serve as liaison to mechanics and offer responsible repair costs/utilization/accidents
  18. Ensure on-going vehicle compliance with agency, state and federal guidelines 
  19. Vehicle assignment/reassignment to correct CC in AS400 
  20. Assist Mechanics staff with allocation of organization vehicles
  21. Advertise and sell agency vehicles – DMV reporting and title change
  22. Credit card check out/allocation/assignments (MC, Sam's, WalMart)
  23. Responsible for Wells Fargo internet banking (credits to accounts – SSI, SSA, FedCon/Foundation donations/print off bank statements)
  24. Assist in analyzing cash flow and investments
  25. Assist with bank deposit when needed
  26. Provide assistance in obtaining vendor W-9 for direct deposit payment information
  27. Continually monitor various types of risk impacting the organization
  28. Analyze and monitor both financial and operational internal controls of the organization
  29. Perform BHW petty cash reconciliation when needed
  30. Perform Prevailing Wage study and issue letters, follow-up and final results
  31. Name change on True Oil lease – work with state of WY
  32. Manage and renew Property Tax Exemptions
  33. Prepare county budget requests letters
  34. Prepare NE Sec of State corporate report
  35. Prepare WY Sec of State corporate report
  36. Prepare SD Sec of State corporate report – all companies
  37. Report to Department of Commerce & US Census Bureau various reports – Capital Expenditures, Report of Organization, etc.
  38. SD excise tax refund request when needed
  39. File and sort documents at request of VP of Finance
  40. Assist all other offices within the Finance Department as needed
  41. Provide oversight of administrative assistant
  42. All other duties as assigned
