Hours: Primarily Monday through Friday 7:45am to 4:15pm.
*Must be flexible with schedule depending on the need.
General Description of the Position:
To perform accurate general office work, to maintain a positive working relationship with other staff, and follow established policy and procedures and provide direct supervision to one staff member. Will accept responsibility for independent decision-making. Projects a professional image to the public and portrays appreciation of work ethic, pride in work well done, and the importance of quality work.
Qualifications:
Minimum qualifications include graduation from high school and two years advanced education, preferably holds a bachelor's degree.
Five years' experience in general office practices and procedures.
Must be proficient in Microsoft Office Suite, have the ability to operate a personal computer, telephone system and general office machines.
Must possess a valid driver's license and pass a drug test.
Responsibilities:
Assist VP of Finance with various finance and budget related projects
Facilitate the full execution of contracts and facility use agreements
Manage and file hardcopy and electronically all contracts entered into by the organization
Assist with renewal and placement of all Commercial Property & Liability, Bonds, Workers' Compensation and any other insurance policy to minimum exposure and financial risk to the organization
Work with commercial insurance agent for GSA vehicle and agency vehicle coverage
Vehicle accident reporting, tracking and follow up
Facilitate and manage reporting all property and liability insurance claims to insurance agent
Provide assistance to claims adjusters, as needed, to bring open claims to a responsible and quick resolution and in a manner most benefiting the organization
Serve as a backup to the Safety Coordinator
Serve as a member of the Safety Committee
Lead the procurement and disposal process of organization vehicles and other assets as assigned
Administer Fleet Card Program
Perform titling, licensing and insuring agency vehicles
Assist in managing grant applications and provide education to organization staff on allowable costs
Serve as liaison to the maintenance department regarding planning and carrying out projects and provide operational assistance as necessary
Assist in management of vehicle fleet
Serve as liaison to mechanics and offer responsible repair costs/utilization/accidents
Ensure on-going vehicle compliance with agency, state and federal guidelines
Vehicle assignment/reassignment to correct CC in AS400
Assist Mechanics staff with allocation of organization vehicles
Advertise and sell agency vehicles – DMV reporting and title change
