Office Manager
Job Level: Mid-Senior Level
Location: Orem, UT
Shift: Full-Time, with occasional work required outside of regular work hours
Compensation: $45,000 - $65,000 DOE
Benefits: Full-Time employees are eligible for Health, Dental, Vision, & Life and Accident insurance, as well as an HSA Savings Account.
Position Summary:
The Blue Raven Solar Office Manager is an expert at creating a great company culture and maintaining a comfortable work environment. They are the energetic face and voice of the company. A successful Office Manager has the utmost attention to detail, is an innovative self-starter, can handle multiple responsibilities simultaneously, and is proactive at anticipating and handling challenges. They keep a service-oriented mindset when assisting employees and guests. They respond proactively to all problems that are raised in the office and remain calm and rational even in high pressure situations.
Essential Duties:
- Personify the company values and facilitate the company culture
- Plan and coordinate corporate events, including company parties, leadership retreats, and all-hands meetings
- Advertise culture-building events and find creative, effective ways to encourage attendance and participation
- Represent Blue Raven Solar with charisma, positivity, and professionality, even in high stress situations
- Foster a warm and hospitable environment for all Blue Raven guests and employees
- Manage and oversee office operations
- Coordinate space and furniture management
- Keep seating chart updated and organized
- Coordinate necessary maintenance and repairs through property managers or vendors
- Maintain comfortable office conditions, including meeting space allocation, food and beverage, electrical, internet, etc.
- Provide high-level administrative support to the President of the company
- Collect and analyze data surrounding employee experience and make suggestions to increase efficiency
- Assist in bringing strategic goals to fruition
- Handle highly confidential information with integrity and discretion
- Schedule and prepare for board and client meetings, conference calls, etc.
- Keep helpful, accurate records and implement organized methods for storing and referencing information
- Manage the company’s meal and entertainment budgets honestly and responsibly. Ensure that company funds and resources are being distributed wisely.
- Create and maintain relationships with vendors and caterers
- Owner of and contact point for contracts with vendors for space and equipment such as office space, printers, furniture, etc.
- Act as the main point of contact for food and entertainment , collaborating effectively with diverse groups of people
- Identify restaurants and vendors to partner with. Build relationships with them and create efficient systems for working with them.
- Act as manager of the Office Management team
- Directly manage the other member(s) of the Office Management team. This includes receptionists, administrative assistants, and the employees who help clean the facilities, stock the break rooms, etc. Monitor employees’ performance, quality, help them set and achieve goals, and encourage them in their career pathing.
Minimum Qualifications:
- Impeccable planning & coordination skills
- Excellent communication skills in all forms (in person, over the phone, in writing)
- Possess effective listening skills to understand resolve concerns
- Reliable computer proficiency in multiple programs, including Excel, Outlook, Word, PowerPoint, and Adobe products
- Expert knowledge of conflict resolution and creative problem-solving
- Professional office management experience preferred
- Executive Assistant experience is helpful
- People/team management experience is helpful
- Drama free – squashes and minimizes office drama

Working Conditions:
- Position requires individual to see, hear, and speak clearly
- Required to ascend and descend stairs and ladders, sit, stand, lift, bend, stoop, crawl, and kneel
- May be asked to drive or travel by car, air, or other transportation for business purposes
- Must be able to lift and carry 30 pounds
- Must be able to function effectively in a loud, fast-paced working environment
