The Regional Practice Manager’s role is to provide leadership within the BluMine Health system for the assigned Medical Office clinics. The Practice Manager will work both independently and collaboratively to assist each office with their individual needs within their clinic. Travel is required.
The Practice Manager should demonstrate professional development and knowledge in overall clinic flow. Clear concise communication with all employees and co-workers are key to the success of this role.
Job Responsibilities:
· Schedule NP and other employee coverage when call offs or scheduled vacations occur. Ensures the use of existing full-time staff before PRN staff are utilized and that overtime is kept to a minimum.
· Manage schedule of all off-site client events to provide coverage for the clinic and the event. May also attend on-site events to assist in managing the event, as well as provide communication to the clinic and the Wellness Specialist.
· Oversee the process flow of each clinic and track productivity on an individual clinic basis as well as an overall corporate basis.
· Make sure all encounters are up to date and locked by Provider. Charting should occur on the day the visit is scheduled. Follows up on any issues and documents in a timely manner to prevent hinderance of corporate reporting. Assist Providers in correct charting and coding when needed.
· Assist the clinics with any functional or procedural issues and questions that they may encounter within the workday. Ensure that all clinic equipment is in working order at all times.
· Order medical supplies for the clinics, while making sure to stay within budget. Ensure that all clinics have an adequate supply of PPE and medications / other supplies necessary to run the clinic efficiently.
· Educate Providers, CMAs, and Receptionists on processes and procedures. Shadow new hires in the clinic setting for the first week of employment; work at new clinics on the first week of operation to ensure smooth client and employee relations. Ensure training is provided when a need exists in the clinics.
· Provide feedback to the support team regarding the clinic’s day to day operations.
· Provide feedback to employees through meetings, disciplinary action, and/or reviews when needed.
· Approve time off for clinic employees; approve timecards for clinic employees to Accounting, while maintaining control over overtime
· Maintain employee turnover rate of less than 20% during the year by being aware of employee satisfaction and aid retention with clinic awards, clinic communication, and other programs.
· Ensure that clinics are accurately staffed and maintained to the highest level possible during weather or other conditions.
· Interact with the Sales team and the Wellness Specialist when needed.
· Approve all invoices as required.
· Other duties as assigned.
