The Office Assistant will perform various routine clerical duties to support the organization.
Supervisory Responsibilities
- None.
- Performs various secretarial, clerical, and administrative duties, but with specialized attention to the fact that the information, decisions, and communication involved may be sensitive or confidential.
- Operates office machines including copiers, scanners, phone and voicemail systems, computers, and other standard office equipment.
- Serves as the receptionist for the office, greeting visitors and applicants.
- Answers phones, directs calls to appropriate individuals, and prepares messages.
- Copies, sorts, and files records related to office activities, business transactions, and other matters.
- Prepares letters, memos, forms, and reports according to written or verbal instructions.
- Sorts incoming mail and delivers to appropriate department or individual, processes outgoing mail.
- Makes bank deposits either manually or electronically, delivers information to appropriate department or individual and enters specialty information in excel.
- Delivers parcels, documents and payments to correct addresses, obtaining signatures and proof of receipt when necessary.
- Maintains filing systems either manually or electronically.
- Manages calendars and schedules appointments.
- Performs other related duties as assigned.
Required Skills/Abilities:
- Ability to type at least 45 words per minute.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Proficient with Microsoft Office Suite or related software.
- Ability to prioritize tasks and to delegate them when appropriate.
- Ability to function well in a high-paced and at times stressful environment.
- Appropriate work authorization or citizenship documentation for USA required.
- Valid Driver’s License
- Dependable and reliable transportation
- High school diploma or equivalent required.
- Notary Public for State of Nevada or ability to obtain Notary Public for State of Nevada
- Clerical experience preferred.
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
- Must reside in the Las Vegas, Nevada area
