Operations Coordinator
This role is best-suited for an extremely organized candidate with a strong attention to detail who can thrive in a fast-paced environment. This position requires the ability to work autonomously and balance daily deliverables with various projects on a need-basis. This candidate will report directly to the Boys Lie COO and Vice President who will collectively oversee and provide direction on respective functions.
Essential Functions:
Maintaining daily data entry tasks which include but are not limited to:
- Manage, oversee and reflect status of Wholesale and DTC Orders from receipt through fulfillment, tracking across company platforms to ensure orders are processed in a timely manner
- Entering orders into Quickbooks and 3PL Management System
- Oversee relevant 3PL (warehouse) correspondence
- Monitor and troubleshoot any issues that arise
- Communicate shipping approvals
- Wholesale Customer Service Management
- Identifying and resolving wholesale customer service issues, including but not limited to addressing stock damages and shortages
- Coordinating item replacement, refunds, or return labels
- Collaborating with the accounting department to ensure customer payment information is accurate and order payments are received in a timely manner
- Managing the customer center in ERP system (RLM)/NuOrder.
- Ensure Wholesale Platform (NuOrder) seasonal data is accurately updated in a timely manner, including but not limited to:
- Uploading home pages, individual product data, design and ecom images, Linesheet creation and inventory maintenance
- Serve as RLM’s (ERP) primary liaison between NuOrder and Shopify
- Oversee and manage order lifecycle through fulfillment, troubleshooting and communicating any issues that may arise
- Inventory management (initial upload through depletion)
- Communicate and troubleshoot any stock shortages with appropriate parties
- Ensure company data is accurately updated in RLM, including but not limited to: B2B customer, product, inventory, and sales order information
- Candidates must be able to handle multiple deadlines and be assertive with team members in order to adhere to deadlines and commitments.
- Master our Warehouse Management System, and oversee inventory needs, customer service returns/exchanges, daily communication with the warehouse team as needed.
- Works independently without need for constant monitoring
- Assist in administrative tasks and special project execution in a timely manner
- Assist in production hand-off from design team
- Enter production PO’s, monitor progress, create ASN’s and receive in stock
- Qualifications
- Minimum 2-3 years experience in a operations and customer service role.
- Excellent interpersonal skills-ability to interface and communicate/collaborate at all levels internally and externally.
- Strong teamwork capabilities
- Highly organized
- Complete work efficiently and with many interruptions.
- Follow up on set tasks with multiple team members.
- Adhere to timelines/deadlines with the daily flow.
- Ability to shift priorities, demands and expectations between data entry and customer
- service (as needed).
- Ability to prioritize tasks and to handle multiple tasks at a time.
Desired Skills
- Proficient in Shopify, Quickbooks Enterprise, RLM or equivalent ERP systems, WMS and NuOrder.
- Proficient in G Suite (Outlook, Excel, Word and PowerPoint).
- Superb written and verbal communication skills.
- Preferable to have experience in fashion retail space
Education
High School Diploma.
BS/BA Degree in either Communication, Marketing, Sales or Business preferred, but not essential.
