Job Purpose: General administrative support to streamline workflow and schedules.
Essential Duties and Responsibilities
- Manage phone system for the Minneapolis office and answer all incoming calls
- Ask questions from the callers to determine the best team member to help them
- Assist customers on answering their inquiries on order status, delivery dates, and basic questions regarding directions to our office, hours of operation, etc.
- Greet clients, vendors and visitors
- Maintain the general office calendar and scheduling
- Coordinate internal activities
- Attend select meetings to record/publish meeting notes and action items
- Schedule/prepare for select meetings in the form of notifications, agendas, Power Point slides and refreshments as needed
- Manage reporting and team metrics
- Work directly with external customers for general support items
- Develop communication material for internal and external use
- Communicate effectively with personnel from across the organization (customers, management, office and shop employees)
- Serve as an information resource on organizational practices, policies and procedures
- Order gifts or supplies for specific events or customers
- Operate with a focus on continuous improvement
- Manage internal stock inventory records, including parts price updates and warranty returns
- Manage and update sales maintenance files
- Additional responsibilities as necessary
Knowledge, Skills & Abilities
- The ability to read, write and communicate effectively
- Associates degree or 6 years of administrative assistant experience reporting directly to a senior leader
- Strong emotional intelligence
- Strong interpersonal and organizational skills
- Maintain a high level of organization and attention to detail
- Extensive Microsoft Office experience (Outlook, Word, Excel, Power Point, One Note, etc.)
- Experience operating in a fast paced and changing environment
- Experience working with cross functional teams
- Experience handling confidential information properly
- Must be a team player with excellent written and verbal communication skills
- High energy and positive attitude with a consistent calming professional approach
- Understands that the role provides a lot of independence and can operate without constant guidance and direction
- Must implement sound judgement to plan, prioritize and execute a diverse workload
- Effective in responding with a sense of urgency and with excellent judgement
- Excellent customer service skills
- Flexible and adaptable to change
- Performs related functions and responsibilities, on occasion, as assigned
- Ability to leverage and engage others to accomplish work
- Ability to work overtime as needed
