POSITION TITLE : Clerk IV - Enrollment Center
PRIMARY LOCATION : New Bedford Campus
REPORTS TO : Dean of the New Bedford Campus.
CLASSIFICATION SPECIFICATION :
WORK SCHEDULE : Monday - Friday, 8 : 30am-4 : 30pm
SALARY : $46,888.66 annually*
Appointments from outside the bargaining unit begin at Step 1.*
STATEMENT OF DUTIES : Responsible for the daily operation of the clerical / reception area for New Bedford Campus Administrative Office.
Provide administrative / clerical support to the Dean of the New Bedford Campus.
ESSENTIAL FUNCTIONS, DUTIES, AND RESPONSIBILITIES :
- Responsible for the daily operation of the clerical / reception office. Adept at public relations and a good representative for Bristol Community Collee.
- Receive and screen visitors, telephone calls and emails; answer and / or refer inquiries to appropriate parties for action.
- Provide secretarial support including filing, typing, creating various documents for the Campus Dean & others.
- Respond to inquiries to provide information about programs and certificate offerings by the college.
- Assist New Bedford Campus Dean with 800 Purchase Street Property Management Duties.
- Compose letters and review documents for completeness, content, and compliance with regulatory and legal standards.
- Perform related duties such as compiling data for use in reporting for the Dean, including graphics, spreadsheets, and reports.
- Prepare reports as assigned to furnish required information about campus programs and community partnerships.
- Operate standard office equipment including PC's, printer, copier, fax machine, etc.
- Utilize software applications, including Microsoft Office (Word, Excel, Publisher, Outlook) to produce letters, reports, agendas, etc.
- Confer with staff to exchange information, coordinate efforts and to obtain information about programs and activities.
- Assist with developing New Bedford Campus promotional materials for special events.
- Perform enrollment service tasks such as student course registration, and general assistance to students and faculty as needed.
- Utilize college's MIS software including Banner and Argos to generate various reports : semester course schedules, faculty teaching schedules, class rosters, and student transcripts etc.
- Use college's Management Information System (MIS) software, including but not limited to Banner and Argos, to run various reports, semester course schedules, faculty teaching schedules, class rosters, etc.
- Create mail merges and prepare mass mailings to students, faculty, staff, and community organizations.
- Schedule meetings; coordinate reservations for the facilities, maintain a calendar of activities.
- Plan campus activities in collaboration with other members of the administration team and / or departments such as Student Services and Enrollment Management (SSEM).
- Assist with operations for the campus, tenants, maintenance company, outside vendors in collaboration with Bristol's facilities department.
- Manage New Bedford Campus social media handles, such as LinkedIn, X, Facebook and Instagram.
- Demonstrate a sense of professionalism and consistently reflect Bristol's core values while interacting with members of the Bristol community.
- Focus on the Commonwealth's Equity Agenda by applying related best practices throughout all job functions.
- Perform other related duties as assigned in conformity with the Collective Bargaining Agreement
Requirements :
EDUCATION AND EXPERIENCE
REQUIRED QUALIFICATIONS :
Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in office work, or (B) any equivalent combination of the required experience and the substitutions below.
I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational / technical high school may be substituted for a maximum of one year of the required experience. *
II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational / technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience. *
III. A diploma for completion of a one-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of one year of the required experience. *
IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of two years of the required experience. *
Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
NOTE : Educational substitutions will only be permitted for a maximum of two years of the required experience.
- Strong computer skills using Microsoft Office, including Word, Excel, and Outlook; ability to work with and create databases and statistical reports using spreadsheets, knowledge of non-profit 501 (c3) organizations;
- ability to work well and collaborate with others; ability to interpret and apply federal and state laws, ability to exercise sound judgement, ability to evaluate and prioritize assignments in an organized and timely manner;
and the ability to work with a diverse faculty, staff, and student body; experience in managing social media handles.

- Minimum of an associate's degree preferably in Office administration.
- Fluency in Spanish.
- Demonstrated experience using Microsoft Office (Outlook, Word, and Excel).
- Strong analytical and problem-solving skills.
- Professional experience working within a college setting.
