What are the responsibilities and job description for the Event coordinator position at Brown-Forman?
Meaningful Work From Day One :
This role will support, plan, and execute events and meetings for the Jack Daniel Visitor Center and Homeplace with a focus on internal B-f stakeholders and Jack Daniel’s business partners.
Additionally, this role will be responsible for the on-site coordination of any media activities at the Jack Daniel Homeplace.
The events Coordinator will report directly to Supervisor VIP / Special Events for the Jack Daniel’s Homeplace. Plan and implement events in a detailed and dea line-oriented environment.
Must be able to work comfortably and independently using initiative and judgment and make decisions within the scope of job authority.
Must develop and maintain effective working relationships with external and internal customers. Must acquire, utilize, and apply a depth of knowledge of company policies and procedures.
What You Can Expect :
Handle all HVR requests through Salesforce
Oversee Tripleseat bookings / invoicing
Work with the brand and sponsorship team to effectively execute on-site activations including press visits, video shoots, and VIP experience guests.
Communicate media requests and events throughout Homeplace operations as needed
Handle all ordering and billing for BBQ Hill needs including but not limited to beverage supplies, alcohol inventory, housekeeping supplies, and supplies needed to execute events
Book and coordinate all functions from initial contract discussion with internal & external clients through event production.
Book Visitor Center activities to include amenity selling of items such as : commemorative bottles, gift cards, tastings, etc.
with strong interpersonal skills, networking, and brand-building priorities.
Host actual events to ensure set-up and needs of clients.
Host site events of prospective clients to communicate brand knowledge and total Lynchburg experience.
Support VIP / Special Event Supervisor with airstream & VIP groups.
Support Homeplace and production organization with coordination and execution of
Special Events, bottle signings, product releases, and sponsored events.
Compile and pay invoicing data in a timely manner for month-end reporting.
Invoice clients and vendors within 2 days of the event and process payments immediately following receipt.
What You Bring to the Table :
Minimum of 3-5 years work experience in the hospitality or events industry.
Advanced computer skills.
Excellent interpersonal skills; ability to effectively communicate orally and in writing to all Brown-Forman / Jack Daniels management levels and departments.
Ability to manage time, and set and meet multiple deadlines and priorities with limited supervision.
Ability to make decisions and follow through with multiple tasks.
Ability to work flexible hours, holidays, weekends, and overtime as needed on short notice.
