Overview:
BSM North America is a growing company and looking for qualified individuals to join our excellent staff as an Office Manager/Material Planner. The role is responsible for coordinating business activities and materials though our manufacturing facility.
POSITION PURPOSE
Ensure that daily office activities and supplies will support needs of internal and external customers. Build value in processes by optimizing tasks and making sure necessary activities are completed in a timely manner. Create best practices for tasks related to office management, accounting and materials planning with use of ERP software.
ESSENTIAL FUNCTIONS AND BASIC DUTIES
Essential Functions
Office Management/Accounting:
- Maintain a documented system of policies and procedures
- Key contact for payroll processing and primary liaison with PEO and onboarding new employees
· Advise company on benefits and changes in company policies
- Maintain an orderly electronic filing system and controls
· Create best practices and procedures for office related tasks
· Manage day to day policies related to company functions, announcements and key happenings
· Key contact for consumable products and related repeat service providers
· Interface with company IT provider and support internal staff
· General accounting related to accounts receivable, payables, collections, invoicing, month/year end processing, reconciling etc.
· Process closed job orders and review for accuracy
Materials Planning
- Monitor material requirements reports, inventories, and forecasts to ensure incoming product is received on time
- Schedule shipments for incoming materials and supplier services
- Optimize purchasing processes to achieve cost, quality, inventory and delivery targets
- Purchase order creating and receiving
- Reconciling of inventory
- Responsible for product returns and invoicing issues
- Create method to monitor and order facility supplies to ensure on-time delivery of essential goods
- Vet supply chain for vulnerability and create mitigation plans against price, service or quality issues
QUALIFICATIONS
· 4-year college degree
· 7 or more years of experience in related business activities
· ERP system understanding and ability to learn Syspro manufacturing software
· Ability to identify and lead problem-solving activities
· Detail-oriented, with strong organizational and analytical skills
· Excellence in utilizing new technologies
· Strong verbal, communication, and presentation skills
OTHER REQUIREMENTS
PHYSICAL STRENGTH: Able to perform typical office duties. No heavy lifting required.
LANGUAGE ABILITY: Ability to understand and follow directions in English.
