Summary
The Administrative Assistant is responsible for communicating with field workers for scheduling of jobs, work orders and communicating with other departments as needed. In addition to typing, filing and performing duties such as invoicing, also answers non-routine phone calls. Detail oriented and motivation to work independently and as a team is required.
Required Experiences:
- Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records.
- Knowledge of processes for providing customer services.
- Excellent attention to detail and time management.
- High school diploma or GED equivalent.
- Proficient in using multi-phone lines, fax machines and copiers/printers.
Essential Duties and Responsibilities:
- Issue Job/Work Order PO requests according to guidelines.
- Issue Stock POs for incoming requests according to guidelines.
- Issue Service Work Order requests according to guidelines.
- Schedule service calls and record information.
- Ensure materials and services are accurately entered on invoices for proper billing
- Assist in time keeping for field workers and ensure correct job code is entered.
- Ensure phone is answered by the third ring.
- Keep records organized and filed at all times.
- If work is slow, ask another department if they need help.
