The Sales & Events Manager position requires a highly organized, creative, detail oriented and motivated person to lead event sales & planning, with a keen focus on revenue generation. This position will also receive a bonus program related to successful sales of events, on top of the listed base salary.
Our Sales & Events Manager should be familiar with the Fort Collins Community and surrounding communities, Events include but are not limited to fundraising galas, corporate dinners, family/wedding-related events, business conferences, community functions, Café Vino marketing functions and others. The position deals with a wide range of responsibilities that include event theme building, creating event programs, communicating with event attendees, marketing, contracting vendors, coordinating event logistics, establishing timelines, scheduling, BOH communication and collaboration and tasks as necessary for event execution.
The Sales & Events Manger is supervised by the Restaurant GM yet coordinates his/her activities with other managers (Chef & Beverage) and interacts daily with a range of team members. Café Vino is a collaborative environment, and the GM will prioritize the needs of all key team members, which will include supervision of the restaurant when needed. The S&E Manager establishes work priorities and ensures that their individual activities are managed within the context of an established schedule that meets the needs of Café Vino, working on-site at Café Vino 80% of the time.
The S&E Manager must be able to anticipate Café Vino needs, discern work priorities, and coordinate scheduling with restaurant team leaders. The S&E Manger must be an enthusiastic professional, capable of wearing many hats and be committed to building strong and positive relationships with our community.
Core Areas of Responsibility
Serve as the lead for event bookings, planning, marketing, revenue generation, management, restaurant support and event execution.
- Lead all Sales and Marketing efforts needed to secure Event clients and maintain a sales/lead database via in-house event platform.
- Schedule appointments and meet with clients to preview event spaces. Post secured events on the shared calendar.
- Present prospective clients with all Café Vino event options. This should include but not limited to food & beverage options, room choice, decorations, AV needs, outside vendor options, and other details to enhance their event.
- Create, and distribute event proposals for prospective clients that fit the needs of their proposed event.
- Responsible lead in the production of graphics/pricing/content/printing, and distribution of event, or restaurant marketing materials
- Secure a date and deposit from potential clients along with a signed contract. Prepare and modify event contracts when needed.
- Manage the timeline, programing, and task lists used by staff for events.
- Lead all event planning and BEO meetings and discussions. Schedule and confirm servers and needed BOH staffing for events.
- Negotiate costs and services with vendors; confirm food and beverage details, order needed supplies/decorations and coordinate any needed AV equipment.
- Create needed room charts or seating arrangements for events as necessary.
- Be on-site to attend and manage the set-up, production and clean-up of events.
- Organize and set up any needed registration and attendee check-in area.
- Using Tripleseat database log a detailed, timely re-cap report after each event.
- know the workings of the restaurant and manage restaurant shifts as needed.
- Assist with preparing budgets and provide quarterly progress reports to ownership and management.
- Responsible for all event finances including invoicing, and reporting.
- Work to exceed all budgeted revenue goals for events.
Qualifications Required
B.A. degree and, or 3 years’ experience coordinating special events.
- Good knowledge of, and connections within Fort Collins and surrounding communities.
- Proven track record generating event revenue for venues.
- Experience with integrating social media into event planning and execution.
- Experience in managing VIPs, C-level executives, and local celebrities.
- Excellent communication skills (both verbal and written).
- Superior time management skills, multi-tasking abilities, team playing skills.
- Budget management and negotiation skills.
- Ability to accomplish projects independently.
- Excellent interpersonal skills with a high level of professionalism.
- Fantastic customer service/hospitality ethic and a discerning eye for quality.
- Experience hiring and managing vendors for event production when needed.
- Strong knowledge of restaurant operations.
- Computer skills: Word, Excel, PowerPoint, Triple Seat, Toast, RESY).
