Job Title: Assistant Director of Operations
Reports To: Director of Campus Housing
Location: Illinois Central College, East Peoria, IL
Compensation: $46,000.00 per year, fully furnished two-bedroom apartment, and a comprehensive benefits package
FLSA Status: Exempt
Summary:
The Assistant Director of Operations works in the administrative office under the direction of the Director. The primary responsibilities are customer relations/service, directing community development, supervising student staff, coordinating the student conduct processes, assisting with leasing and overseeing office operations. Duties include but are not limited to after-hours duty, event planning, resident services, data entry, resident education, file management, and supervision.
Illinois Central College (ICC) is a community college located in East Peoria, IL. Campus Housing, owned by the ICC Foundation LLC, provides apartment style living to students of ICC and local interns. The community consists of 328 beds (120 units) and serves a diverse range of students.
Capstone On-Campus Management (COCM), with headquarters in Birmingham, Alabama, is a group of student housing professionals focused exclusively on the management of housing communities owned by non-profits and/or highly affiliated with a university.
Essential Duties and Responsibilities are as follows:

Assume leadership role in absence of Director.

Assist in coordinating projects (ex. turn, move in, move out, damage billing, summer interns, etc.).

Hire, train, evaluate, and supervise 5-8 Resident Assistants.

Manage day to day office operations including processing incoming and outgoing mail, desk scheduling/coverage, parking, and supply ordering.

Coordinate electronic or paper communication to residents, such as cancellations, reminders, facilities issues, office closings, etc.

Maintain/update office documents such as operations manual, resident roster, publication forms, rent roll, work orders, etc.

Maintain an accurate key inventory.
Facilities and Maintenance:

Coordinate maintenance work between residents and maintenance staff.

Track, update, and ensure work orders are complete and the resident is informed throughout the process.

Assists the Director with vendor assignment and management, including but not limited to:

Gather bids, quotes, or vendor contract requests.

Secure appropriate insurance from vendors and facilitate vendor setup process.

Maintain correspondence with vendors regarding invoicing or accounts payable items.
Marketing and Leasing:

Assist with the leasing process, including but not limited to:
-
Accept, process, and file applications as necessary.

Process room / space assignments.

Assist with application and contract audits as necessary.

Answer questions pertaining to the lease agreement & housing community.

Assist with creating and reviewing marketing materials.

Oversee social media and program/event marketing materials, and website content.
Residence Life:

Provide advice, support, assistance, and referrals to residents regarding academic, housing, personal, or other concerns.

Assist with roommate conflicts and provide intervention when necessary.

Oversee the student conduct process including holding hearings, tracking progress, follow-up, and providing data for the annual Clery Report.

Serve as a programming resource for staff and students, providing information about the campus and community contacts.

Coordinate and oversee large scale programs/events and oversee RA programs/events.
Other Duties:

Develops and maintain positive relationships with campus partners.

Lives on-site and participates in 24-hour emergency response rotation. Responds to emergency calls by assessing the situation and determining the best course of action.

Other duties as assigned.
Minimum Qualifications:

Bachelor’s degree.
-
Experience in higher education administration and/or property management.

Demonstrated skills in customer service, group facilitation, leadership, and organization.

Strong communication (oral and written) skills and computer competency (Word, Excel, content management systems, etc.).
Preferred Qualifications:
-
Master’s Degree in Higher Education/Student Affairs or related field.

2-3 years of higher education administration and/or property management experience.

A comprehensive understanding of student development, student personnel, and conduct adjudication.

Experience working with a diverse population.
