Job Description:
Summary/Objective: The overall job is to handle all aspects of the closing from contract to closing, post-closing and preparation of title policies. Continuous daily contact with the BHHS Market President, as well as the real estate agents, to ensure consistent quality service to all parties.

Service/Duties:
- Complete understanding of the escrow process, determining which steps need to be taken to transfer title to property pursuant to the conditions called for in the real estate contract, title search/commitment and lender instructions
- Manage the entire real estate closing process, including compliance with the real estate contract, lender instructions, title requirements, company requirements and other written instructions
- Complete understanding of title search/commitments. Able to resolve title issues and determine corrective documents and/or actions that may be necessary to ensure clear title, and the issuance of the title insurance policy at closing.
- Oversee the issuance of checks, bills/statements, receipts and any other documents needed to ensure complete customer satisfaction
- Conduct closing with customers, lender and Realtor
- Assist customers and clients with all closing related questions
- Prior to file disbursement, confirm file is balanced ad all funds received. All taxes, HOA amounts due, payoff amounts – including all applicable interest and fees, have been collected. That all documents are checked for accuracy and that correct signatures, acknowledgements and legal descriptions have been affixed
- Verify against ALTA Statement/CDF that all disbursements have been paid correctly
- Prior to recording, verify again that all documentation as the correct legal description, signatures and acknowledgments
- Develop client relationships to ensure future real estate closing transactions
- Reconciliation items that may need addressed on a daily basis
- Elimination of closed file shortages and balances – reviewed weekly
- Eliminate outstanding checks over 60 days – reviewed weekly
- Attend sales meetings once monthly
- Maintain monthly reports as required by your Manager(s)
- When required, delegate certain processes
- Perform other duties as may be assigned by your Manager(s)
Physical Demands:
- The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to see, talk and hear. This is largely a sedentary role; however, some filing and movement through the office is required. This would require, but is not limited to, the ability to lift files, open filing cabinets, and maintain office equipment. This job requires good hearing and eye sight for customer communication and computer input.
Position Type/Expected Hours of Work:
- This is a full-time position. Days and hours of work are Monday through Friday 8:30 a.m. to 5:30 p.m. Occasional evening and weekend work may be required as job duties demand
Travel:
- Some travel required between offices for courtesy closing and office coverage as needed
Required Education and Experience:
- Standard concepts, practices and procedures within the escrow/title industry field
- Prior experience in an escrow office – manager role
- Excellent client relations and organizational skills, strong communications skills, both verbal and written
- Ability to self-manage, evaluate work and determine priorities. Detail oriented and professional and able to handle all confidential information
- Ability to deal with multiple roles such as buyers, sellers, real estate agents, brokers, etc.
- Able to work in a team environment
- High School Diploma
- Title License (if not already licensed, must be willing to obtain)
- Notary Public
- Knowledge of SoftPro preferred
