Job Summary

The Administrator will oversee the overall management and the day to day operations while maintaining compliance with all applicable laws and regulations, by hiring, training and supervising qualified staff while ensuring quality of care and establishing a working relationship with regulatory agencies, family members and community advocates.

Responsibilities and Duties

  • Operates the community in a manner which will ensure company profitability by meeting all community budget and census guidelines as set

  • Participation in weekly meetings, must be prepared to discuss in detail AR issues, budget, census, including wait list, prospective residents and rent rate for the future residents in question

  • Completes and monitors all marketing activities to achieve a 100% occupied community with a resident waiting list

  • Contacts any potential new residents within 24 hours of referral

  • Schedule and complete tours, keeping in contact with any referral sources progressing towards admissions

  • Complete all monthly billing requirements (CMH, waiver, model payments)

  • Maintain per regulation resident funds

  • Follow up on any account receivable concerns

  • Creates and maintains a weekly staffing schedule within the set guidelines to meet the needs of the residents

  • Actively manages and leads the community team including ongoing recruiting, interviewing and retention of staff

  • Staff reviews, discipline and documentation of terminations

  • Orders food and supplies appropriately

  • Complete all assigned duties that may change from time-to-time according to resident needs, staffing levels and working circumstances

  • Develops a thorough working knowledge of state regulations and ensures all resident and employee files are well maintained and in compliance with regulations

  • Ensure all records for residents and employees are confidential and accurate

  • Review all incident reports, ensure they are complete, and if needed corrective actions are in place in a timely manner

  • Maintain assessments for level of care notifying the VPCC (in Eldermark) when there is a change in a resident’s condition

  • Maintain employee files to state regulations, including hiring, medical forms, and training

  • Routinely monitors the sanitation of the kitchen, quality of meals, cleanliness of resident apartment and satisfaction of residents

  • Creates weekly menu, based on state nutritional guidelines

  • Monitors and oversees the healthcare and related services for the resident, medication orders, daily resident services, documentation using Eldermark ensure they are complete and accurate

  • Follow up on any changes in condition, hospitalizations and discharge plan during hospitalizations

  • Encourage resident interaction and promote a culture where each resident is of the greatest importance, respond promptly to resident and family needs and concerns. Cultivate and maintain guardian relationships

Qualifications and Skills

  • Minimum of high school diploma. Experience healthcare management required, or bachelor’s degree preferred
  • Must comply with all State and Federal mandated training and/or certification programs for the position of Administrator

  • Must have an understanding of budgeting, financial record keeping and reporting, appropriate State and Federal regulations, operational systems and procedures and must be able to apply that understanding to ensure the smooth operation of the community.

  • Proven ability to lead teams and develop people

  • Ability to handle multiple priorities/tasks effectively and delegate responsibilities to the appropriate individuals
