RESPONSIBILITIES:
- Work very closely with the service manager and operations lead/supervisor on a daily basis
- Manage customer and client communications for work schedule and maintain a positive and productive working relationship.
- Schedule and document all department commitments for repairs, maintenance, and installation.
- Schedule 2 weeks in advance with day-to-day adjustments as necessary to accommodate the scheduled workload.
- Schedule customer onsite training as requested.
- Schedule 24 hours emergency service team and assist emergency service contracted customers as required (On-Call Schedule)
- Communicate with the field to determine the status of the project they are working on and know each Tech working location all the time.
- Assist in the local monthly branch service agreement renewal process and book in ERP within 30 days of expiration
- Ensure all preventive maintenance visits are scheduled and performed for each service agreement.
- Notify customers of scheduled PM dates visits
- Log and track all service work orders, and reconcile all open tickets for dispositions.
- Invoice customer in a timely manner target 30 days or less DTI.
- Work with the collection department for collecting invoices and resolving disputes.
- Microsoft office product experience is a must.
- Other duties as assigned
EDUCATION/CERTIFICATIONS:
High School Diploma, GED or equivalent required; AA/AS degree preferred, Technical/Business
School Certificate or Diploma; or another post-High School training (2-years duration)
EXPERIENCE / QUALIFICATIONS:
- 5 years of experience in the Building Construction/HVAC Industry preferred
- An undergraduate degree in business, finance, or equivalent is strongly preferred
- Accounting, purchasing, receivables, and AIA billing experience preferred
- Proficient in Microsoft Office software, including Word, Excel, Outlook, PowerPoint, and Access
- Excellent written and verbal communication skills
- Ability to work without close supervision
- Good time management skills
- Able to manage multiple competing priorities successfully
