What are the responsibilities and job description for the New Machine Inventory Coordinator position at Cashman?
This is intended to be a Full-time position.
ESSENTIAL FUNCTIONS:
- Heavily participate, communicate, engage with and actively support the Prime Sales and Rental teams, including Regional Sales Management, Sales Administration, and Coordinators.
- Maintain extensive knowledge of new machine and attachment ordering processes and availability of product.
- Update and maintain standard machine configurations in DBS each time price pages change.
- Obtain quotes and order allied products for both machines and attachments.
- Order all Cat attachments, components, and parts for machines intended for resale.
- Review order status reports weekly for allied machines and Cat/allied attachments.
- Responsibility for updating availability and maintaining accuracy of inventory records in all systems (e.g. DBS).
- Assist New Machine Inventory Supervisor with dealer trades, including searching dealer inventory, coordinating freight for inbound transfers, and processing dealer-to-dealer invoices.
- Assist New Machine Inventory Supervisor with monthly FPro forecast input and upload to Cat DPA system.
- Submit DOCS cases to Cat as needed.
- Serve as secondary contact with Cat and other manufacturers on matters pertaining to new machine and attachment inventory.
- Code all machine and attachment vendor invoices in eDocs for approval at least once per week.
- File work tool exceptions with Cat for non-Cat attachments.
- Coordinate weekly inventory reconciliations with yard personnel in each location, and perform physical inventory checks as needed. Responsible for ordering and maintaining inventory bar codes supply for yard scanners.
- Ensure allied machines and Cat/allied attachments are pre-received upon notification of shipment from manufacturer. Arrange transport for models not covered by Cat managed freight.
- Communicate with yard personnel and service departments regarding incoming allied machines and Cat/allied attachments.
- Prepare and update a variety of weekly and monthly reports, including (but not limited to): aged inventory, machine and attachment excess lists, inventory plan, etc.
- Cross train and serve as primary backup for the New Machine Inventory Supervisor, and secondary backup to other positions within the department.
- Manage the Uptake Inventory Module which includes data verification, new user setup, onboarding training for new users, and submitting “help” tickets when applicable.
ADDITIONAL RESPONSIBILITIES:
- Prepare various monthly, quarterly, and annual reports as required and directed.
- Performs other duties as assigned by the New Machine Inventory Supervisor, Sales Administration Manager, Regional Sales Managers, and General Manager of Sales.
- Sufficient interpersonal skills to deal with people across department lines in a mature, relaxed, objective and cooperative manner.
- Coordinate with sales, rental and service departments to ensure optimum cooperation and support.
- Oversee inventory reconciliation and report monthly on status.
- Adhere to company policies, procedures and regulations.

EDUCATION AND EXPERIENCE:
- High school diploma or General Education Degree (GED).
- Minimum two years’ experience in an inventory environment or sales/rental/service or related coordination role strongly preferred. Caterpillar or allied brand background or knowledge helpful.
- DBS-EMS knowledge or other similar inventory/selling business system desired but not required.
- Must have experience using personal computer software programs such as Word, Excel and Windows.
- Strong verbal and written communication skills.
- Strong organizational skills and ability to effectively multi-task.
