We are seeking a dedicated and experienced Facilities Manager to oversee the maintenance and operational needs of our main offices and retail locations. The ideal candidate will have experience in facility maintenance, with a strong attention to detail, and the ability to address maintenance issues promptly to ensure that our facilities are well-maintained, safe, efficient, and a conducive working environment for our staff. The Facilities Manager will contribute to ensuring Catbird is providing an optimal employee and customer experience.
\n- Facility Maintenance and Repairs:
- Develop and execute a proactive maintenance program for all facilities.
- Coordinate and oversee repairs, renovations, and improvements as needed.
- Manage relationships with external contractors and vendors for maintenance and repair services.
- Ensure compliance with safety and environmental regulations.
- Address and resolve minor electrical, plumbing, and HVAC issues.
- Troubleshoot and repair mechanical, electrical, and pneumatic systems.
- Perform equipment upgrades and modifications as needed.
- Implement energy-efficient practices and technologies to reduce operational costs.
- Promote sustainability initiatives, including waste reduction and recycling programs.
- Partner with the Retail team in executing floorplans as needed.
- Assist to plan and execute store layout changes and expansions.
- Ensure compliance with zoning and building codes.
- Report on the facilities expenses as it relates to the MRO department.
- Monitor and control costs, seek cost-effective solutions, and report on budget performance.
- Vendor Management:
- Identify and evaluate third-party service providers and suppliers for specialized maintenance needs.
- Collaborate with external contractors and service providers for facility maintenance.
- Schedule and oversee maintenance tasks
- Negotiate contracts, establish service level agreements, and monitor vendor performance.
- Manage vendor relationships to ensure quality service and cost control.
- Safety and Compliance:
- Ensure the store premises are safe and secure for customers and staff.
- Ensure compliance with all relevant regulations and standards.
- Monitor security systems and respond to alarms or incidents.
- Conduct safety inspections and address any potential hazards.
- Develop, implement and maintain safety protocols, emergency response plans and procedures to ensure compliance with regulatory standards.
- Assist in emergency response procedures.
- Coordinate with local authorities and emergency services for drills and real-time emergencies.
- Train employees on safety procedures and emergency response.
- Maintain accurate records and prepare reports for senior management as required.
- Inventory and Supplies:
- Manage inventory of maintenance supplies, tools, and spare parts.
- Source and procure supplies as needed while controlling costs.
- Maintain organized storage areas for materials and equipment.
- Ensure proper storage and disposal of hazardous materials.
- General responsibilities
- As a senior member of the small but mighty MRO team, support the Senior Manager in leading the team and ensuring a strong and collaborative culture
- Other maintenance, repair and operations tasks and project management as needed
- Records maintenance and administrative duties.
- Project planning and reporting.
- Maintain open lines of communication with staff, vendors, contractors, and facility users to ensure all are informed of important developments and changes.
- Proven experience in facilities management or a similar role, preferably in a retail setting.
- Strong knowledge of building systems, maintenance practices, and safety regulations.
- Knowledge of basic electrical, plumbing, and HVAC systems.
- Attention to detail and a proactive approach to maintenance.
- Ability to work independently and prioritize tasks.
- Effective communication and teamwork skills.
