PLEASE NOTE: Candidate selected will be expected to be in the Chicago office 3-4 times per week especially on days events are being hosted. Also, there may be a few times per month when you may be expected to stay until 6-7pm CST for event support.

In this Events Coordinator role, you’ll be responsible for the following:

  • Plan and coordinate the details of in person meetings and events
  • Determine purpose of the meeting, prepare a project plan with specifications, and obtain historical information to the program
  • Work with internal and external teams to leverage resources to reduce the costs and increase the quality of events and meetings
  • Proactively escalates department, program, or delivery issues for timely resolution
  • Assists with the planning of technology needs
  • Coordinates monthly happy hours for multiple offices
  • Manages meetings and events according to the budgets provided
  • Assists with securing catering and transportation needs for conferences and events
  • Research and source potential venues for conferences and other events
  • Assists in determining appropriate location and venue for events and conferences
  • Assist senior planners with larger events, pre-event and onsite duties will be assigned
  • Active involvement in the execution of annual conferences
  • Perform other duties as assigned

Qualifications:

  • 3 years of meeting/event management
  • Bachelors degree preferred
  • Strong computer & interpersonal skills
  • Knowledge of project management procedures
  • Excellent oral/written communication skills
  • High degree of ownership and professional commitment
  • Ability to work under pressure and strong desire to produce results
  • Ability to set priorities and multi-task
  • Ability to work as a team player and be self-motivated
  • Ability to travel as necessary
  • Ability to learn quickly and problem solve in a timely manner
