Job Summary:
Project Secretary or Administrative Assistant will coordinate project activities to ensure the project is on schedule. Provides administrative and logistical support including meeting arrangement, progress tracking and documentation. May assist with preparation of reports. Required a broad working knowledge of departmental and company policies and practices. May be assigned in various functional areas of the company.
Job Responsibilities:
- Assist project manager and other project team members, handle correspondence, create presentations, etc.
- Ability to handle and resolve issues that might arise.
- Assist with office space, supplies, setting up desk for new employees, etc.
- Supporting Project Manager(s) with daily tasks.
- Coordinate and schedule meetings, conferences, etc. Ensure timely response to both internal and external email, communications, deadlines, etc.
- Ensuring meeting minutes are accurately taken and distributed.
- Assist with specific project needs such as but not limited to assisting new personnel, assisting with new hires, coordinating necessary safety training, etc.
- Produce daily, weekly, monthly reports ensuring accuracy for Management.
Job Qualifications:
- High school diploma or associate degree preferred.
- Minimum of 8 years working as a Project Admin supporting Project Managers/Project Engineers/Discipline Manager, etc.
- Must have previous Project Administrative experience in EPC/EPCM environment.
- Advanced computer skills in Microsoft office and any other necessary software.
- Ability to prioritize and work within strict time constraints.
