  • SUMMARY

    Provides administrative, clerical, and project based support to instructional programs within the Division of Extended Learning. Primary frontline support for Program Directors and Managers.

     

    ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.  Other duties may be assigned.

    1. Process payroll for part time and full time personnel. Maintain personnel timesheets;
    2. Process faculty new hire information packets, submit to DEL Compliance Officer for credentialing and processing, and track completion;
    3. Prepare and verify instructor packets are ready for first day classes (e.g., syllabi, texts, rolls, etc.);
    4. Duplicate materials for unit faculty and staff;
    5. Create documentation to facilitate textbook selection and ordering processes by working with Program Managers/ Instructors, Program Directors, CEIS and Bookstore. Serve as liaison between bookstore and program, verify book ordering status and alert bookstore when inventory is low;
    6. Notify DEL Student Support/Administrative Services of class cancellations or other class status changes. Notify students of class scheduling changes;
    7. Process, monitor, and confirm student WIA payment voucher documentation and collaborate with system CE operations and business office to resolve any outstanding payments;
    8. Manage student inquiries related to the assigned program. Refer to and schedule students for orientation/information sessions;
    9. Screen visitors. Answer phone calls. Sort and distribute faxes and mail;
    10. Assist with help desk when needed;
    11. Schedule rooms for meetings as needed;
    12.  Complete and submit forms for authorization and reimbursement (e.g., travel authorization forms, leave forms, mileage reimbursement forms);
    13. File all correspondence, including applicant files, student testing and grading files. Purge and archive files as necessary; and
    14. Maintain inventory list of instructional and office materials and order as necessary.
  • QUALIFICATIONS

  • To perform this job successfully, an individual must be able to perform the essential duties and responsibilities listed above.  The qualifications listed below are representative of the education, experience, knowledge, skills, and/or abilities required.

     

    EDUCATION

    Associate’s Degree, 60 hours of college credit, or high school diploma/equivalent plus four years work experience required.

     

    EXPERIENCE

    Three (3) years’ experience in providing administrative, instructional and/or program support preferred.

     

    Experience with workforce programs and processes preferred.

     

    KNOWLEDGE, SKILLS AND ABILITIES   

    1. Ability to communicate and maintain productive working relationships with people at all levels of the organization;
    2. Ability to work flexible hours including evenings and weekends;
    3. Proficiency in Microsoft Office Suite (word processing, spreadsheet, and database applications);
    4. Excellent oral, written and interpersonal communication skills with the proven ability to display empathy and positive regard for others;
    5. Strong organization skills; and 
    6. Excellent customer service skills.
