What are the responsibilities and job description for the Executive Assistant position at Cellares?
Position Summary
We are seeking an innovative and highly motivated Executive Assistant who will contribute significantly to the growth of Cellares and our mission to accelerate access to life-saving cell therapies.
The primary focus of this position will be to maintain the order and stability of our executives’ tasks, calendars, and commitments/obligations. This will require great attention to detail, ability to multitask, and maintain a professional demeanor as necessary. This person will be working directly with several Vice Presidents of the company, all operating at the Executive level. It is important that this candidate can take an “all hands on deck” approach, maintain confidentiality, and bring a proactive attitude to their position.
Candidates should enjoy working in a fast-paced, mission-driven environment, and be prepared to tackle a broad selection of challenges as the company grows.
\n- Maintain executives’ calendars; including scheduling and updating as needed (prioritization).
- Plan meetings, including but not limited to catering, location booking, calendaring, follow up communications, etc.
- Facilitate planning of company events and meetings
- Coordinate travel arrangements
- Ability to help manage spreadsheets or presentations (slide decks) for Co-Founders as needed (using Google Sheets and Slides)
- Manage executives’ expenses, minor accounting and bookkeeping
- Maintenance and organization of company records, documents, spreadsheets
- Will need to communicate in a professional manner to outside and internal sources (i.e. vendors, clients, contractors, media, partners, & employees)
- Will need to be able to handle any other tasks that may come up (i.e. communications with vendors or clients, facility management items, facilitating company branding items, fundraising tasks, Town Hall preparations, etc.)
- AA degree with at least 5 years experience in an administrative role
- Excellent verbal and written communication skills
- Strong organization skills as well as the ability to multi-task
- Ability to think critically and make decisions on your own
- Ability to hold confidential information at appropriate discretion
- Strong attention to detail
- Ability to problem solve with little direction or supervision
- Desire to be part of a rapidly evolving organization, with a compelling technology and mission
- Ability to pivot as needed and take on duties outside the normal scope of work
- Self-awareness, integrity, authenticity, and a growth mindset are a must

Leveling will be based on overall experience, education, and demonstration of knowledge throughout the interview process.
Salary : $90,000 - $210,000
