What You Will Do:
- Provide day-to-day general office support to Managers and ensures all operations run smoothly.
- Maintain general knowledge of CAMI, clients, and vendors.
- Manage main phone line handling general client inquiries.
- Maintain office supplies inventory and works with vendors to ensure the regular supply of office materials
- Organize historical information by keeping the files up to date and monitoring the retention of the records.
- Keep the office database and filing system up to date, organized, and clean.
- Ensure timely communication with immediate supervisor by informing all problems and concerns encountered, responding quickly to email and phone inquiries, monitoring meeting and event schedules, reviewing program protocols, and keeping track of client project development and business needs.
- Provide meeting support for the Board/Committee of CAMI and client associations by creating meeting minutes, notices, and email promotions, executing meeting schedules via social media platforms, managing meeting registrations and reconciliations, and preparing the meeting supplies/materials on site.
- Achieve financial team support by processing incoming payments, preparing invoices when needed, mailing outgoing payments, and preparing bank deposits.
- Support member communications by preparing mail materials, formatting notices, sending surveys via SurveyMonkey, sending blogs or newsletters, managing websites and social media accounts, and managing databases.
- Maintain and operate office equipment, including printers, copiers, and fax machines.
What We're Looking For:
- At least a High school diploma; Associate's, or College degree would be an advantage
- With at least one (1) year of work experience in an office environment
- Excellent communication skills both verbal and written
- Working knowledge in Microsoft Office software (Word, Excel, PowerPoint, Outlook, and Publisher) and Adobe Acrobat
- Experienced in using office equipment, like scanners, printers, fax machines, and phone systems
- Experienced in using social media like Twitter, LinkedIn, Facebook, and Instagram
- Ability to multi-task, organize, and prioritize work seamlessly with excellent attention to detail
- Flexible and able to accommodate on-site and off-site meetings when needed
- Enjoys a fast-paced office and prefers to work toward a group objective
- Excellent verbal/written communication and mathematical skills
- Energetic, Quality-minded and can work independently.

Work Schedule / Location:
- Full-time / Hybrid (two days remote/ three days in the office)
