The Role:
The Program Support Supervisor performs a variety of duties related to the Flight Training Program, such as providing excellent customer service, coordinating program activities, supervising aircraft dispatchers, and processing documents and records within the Flight Training Management software. All employees are expected to support CWU’s commitment to diversity and to bring and support inclusion into the university environment.
Job DutiesFlight Operations:
- Have extensive involvement with students and staff in carrying out program activities, and coordinate, schedule and monitor program activities to determine consistency with program goals. Coordinate flight operations with the academic requirements of the courses. Monitor students, aircraft availability, course progress and flight fee accounting
- Exercise independent judgment in interpreting and applying rules and regulations. Independently advise students, staff, program participants and/or the public regarding program content, policies, procedures, and activities; select/recommend alternative courses of action
- Check incoming student training records and documents for required information
- Make flight schedule adjustments and notify students and instructors of planned schedule changes
- Plan and develop both daily and monthly flight schedules that meet all flight training requirements with current resources available. Maintain and monitor established record keeping of flight schedules, producing forms, letters, record entries and other materials related to the Flight Training Program
- Interface daily with student financial services regarding student flight lab accounts
- Maintain and monitor established record keeping of flight school filing and database systems
- Compose correspondence such as requests for documentation and responses to requests for information; devise, evaluate and revise forms for internal use
- Track Instructor/Staff pilot currency
- Prepare or assist in the preparation, compilation, and coordination of reports and records such as financial, payroll, labor distribution, equipment usage, purchasing, inventory, personnel, scheduling, registration, and testing
- Compile and produce material such as financial statements, aircraft checklists, schedules, flight progress reports, and technical and statistical reports requiring specialized knowledge and judgment in selection and treatment of data and format; prepares, tables, charts and graphs as required
- Review, reconcile and process timely requests to student financial services for flight overages, check ride retests and aviation lab credits. Maintains proper documentation of requests
- Provide support to students and staff in accordance with TSA and FAA guidelines in all courses of flight training
- Prepare and maintain pilot student training records according to FAA standards, track departmental pilot currency requirements, and provide training and certification requirements to program students
- Facilitate the daily operational department flight schedule to maximize aircraft utilization
- Assist program Chief Flight Instructor and lead instructors in record keeping of FAA training records and compiling monthly Veterans Affairs (VA) student training needs
- Schedule student progress review boards and draft related program correspondence
- Resolve problems and respond to inquiries regarding rules, regulations, policies, department procedures, and department services; answer telephone and emails; receive and refer visitors
- Report all safety issues and occurrences
Supervisor Duties:

Dispatch Support:
- Oversee day-to-day operation of the dispatchers
- Fill in as a dispatcher when needed
- Perform other duties as assigned
Minimum Qualifications- Ability to effectively organize multiple work assignments, involve competing priorities to produce work products that are accurate, of a high quality and meet deadlines
- Excellent communication (oral and written), interpersonal, analytical, and organizational skills
- Experience working with diverse populations
- Demonstrated ability and/or experience working with students and/or co-workers from a wide range of abilities, backgrounds, and experiences
- OR applicable combination of education and/or experience which demonstrates the ability to perform the essential functions of the position
Preferred Qualifications
- Knowledge of the unique needs of a student-centered environment
- Experience using Enterprise Resource Planning (ERP) systems such as Oracle/PeopleSoft
- Experience in interpreting and adhering to policies and procedures of the FAA, Transportation Security Administration (TSA), and other aviation related organizations and regulations
- General fiscal experience, training and/or education that demonstrates the ability to monitor budget data and provide related reports
- Airport hospitality (customer service) and aviation scheduling experience
- Ability to incorporate multicultural perspectives and issues into everyday conversations
- Life experiences that demonstrate an ability to contribute to CWU ‘s commitment to inclusion and diversity

Pay, Benefits, & Work ScheduleSalary: This position is based on the range 41 of the Washington State Classification Listing, which has a minimum annual salary of $41,448 and maximum annual salary of $55,224. In accordance with RCW 49.58.110, the above salary reflects the full salary range for this position. Individual placement within the range is based on the candidate’s current experience, education, skills, and abilities related to the position.
Schedule/Appointment: Monday - Friday, 8:00am-5:00pm (1 hour lunch)
Working Conditions: Majority of work is performed in an indoor office setting with frequent in-person interactions with the public, student, staff and/or agencies related to the local airport. It is essential to be able to remain at a desk/computer workstation for prolonged periods of time, perform extensive data entry and other computer-related tasks and updates. Additionally, work is performed outside on tarmac or on local airport site. Occasional evening or weekend work and/or travel may be required. Employee may be required to work at any location on the CWU campus to which they are assigned.
