What are the responsibilities and job description for the REGISTRAR position at Centura College?
POSITION PURPOSE
This position is responsible for managing student records, including academic status,
transcripts, grades, attendance records, and class scheduling and registration process. In
addition, the Senior Registrar will also be responsible for administrative tasks such as
processing transcript requests, academic planning, assisting students with obtaining textbooks,
supplies and equipment needed for classes.
JOB FUNCTIONS, DUTIES AND RESPONSIBILITIES
- Process student enrollment by building classes and formalizing class schedule.
- Create and distribute class schedules, instructor attendance rosters, maintain attendance
records and report cards.
Registrar
- Manage student records and changes including changes to academic status, grad date,
address, etc., to ensure student files are complete and all documents scanned in.
- Enroll students from completed enrollment folder.
- Complete designated portion of Re-Enrollment Eligibility Form and process approved
Re-Entries.
- Ensure all attendance is posted daily, and grades are posted at the end of each grading
period.
- Run Registrar reports as described in the Registrar Policies & Procedures.
- Perform SAP calculations at the end of each quarter/semester and notify Education staff of
SAP results for advising purposes.
- Issue Probation and FA-Suspension letters to students.
- Reconcile Incomplete grades in the timeframe prescribed in the school catalog and file
closeouts for grads, drops, cancels.
- Assist students in ordering textbooks and confirm book orders with the Home Office.
- Sort Deficiencies, alphabetize pink copies, document input hours, build missed Time Report
for aviation schools.
- Perform administrative tasks such as processing transcript requests and education
verifications, generating graduate certificates and diplomas.
Participate in formal and informal mentoring of new employees to support onboarding,
training, and joining a positive work culture that supports the institution and its students.
- Other duties as assigned by Supervisor.

Education
- High School Diploma or GED, or equitable on-the-job experience
- Associates or bachelor’s degree in Business preferred
Experience/Skills
- Minimum 2 years experience in academic environment preferred.
- Ability to work in a fast-paced, performance-driven, compliance-oriented environment.
- Detail-oriented, analytical, highly organized, and have the ability to multi-task and work well
under pressure.
- Demonstrate a high level of integrity, discretion, strong work ethic, and professionalism.
- Persuasive and effective verbal and written communication skills, with a strong focus on
customer service.
- Highly motivated and goal-oriented, with strong problem-solving skills.
- Must be able to work independently and as collaborative team member and have
exceptional interpersonal skills.
- Excellent computer skills are required with proficiency in MS Office applications including,
but not limited to, Word, Excel, Outlook, SharePoint, and Teams. CampusNexus experience
a plus.
- Ability and willingness to travel locally or overnight occasionally for business.
