We have an urgent requirement for Admin Assistant (1226541)
Location: Georgetown, KY
Duration: 12 Months
E&F Planning is in need of an Administrative Assistant
Detailed Description of Responsibilities (but not limited to):
1. Track departmental operating and capital budget activities including budget tracking, cost reports, schedule reports, and monthly accruals.
2. Receive and manage entry of SRFs, PIFs, and PRFs within the PLEES database and in the new ServiceNow portal.
3. Register capiatl projects in SAP and submit Fresh Desk tickets for funding
4. Enter department pay requisitions, enter Ringi lines, and track purchase orders for capital and operating
budgets.
5. Provide open PO reports and match exception reports.
6. Complete monthly budget reconciliations between master tracking sheet and divisional tracking tools
7. Maintain department org chart and seating chart
8. Track status of open CLRs and PSSs.
9. Coordinate and schedule Open Item Meetings with LDS sites - includes scheduling meetings, following up with SME's on missing updates, taking/distributing meeting minutes.
10. Perform daily clerical duties such as mail distribution, office supply ordering, business card ordering, etc.
11. Provide IT Support and/or input IT tickets on behalf of Team Members.
12. Provide support for on/off-site department events/functions/conferences including scheduling, catering, travel, etc (general coordination of event(s)).
13. Perform work that is varied and generally administrative and/or project-oriented.travel, etc (general coordination of event(s).
14. Provide support as needed for other team members.
15. Network extensively with many of the company's executive administrative assistants.
16. Provide support as needed for other team membersRequirements:Required Qualifications:
1. 0 to 5 years of experience in Administrative Assistant role.
2. High capability of managing dynamic and challenging schedules for executives.
3. Ability to effectively communicate in person and via email/TEMAS with Toyota Team Members, contractors, vendors, purchasing groups, etc.
4. Competency in Microsoft Office Suite: Word, PowerPoint, Excel, Outlook, Project.
5. Competency in SAP Ariba
6. Knowledge and experience in the annual budgeting process.
Additional Desired Qualifications:
1. Associates degree in business or related field
2. Experience using Power BI for report generatingSalary : $15 - $16
